In the Associate Director, PMO role you will be responsible for support day-to-day planning, operations, and financial management to ensure seamless execution of RFI/RFP responses across all proposal types, including AOR, DAOR, Media, Market Access, and Complete Commercialization deals. The Associate Director serves as a key liaison between BD leadership, finance, resource management and internal/external stakeholders, driving continuous process improvements.

KEY RESPONSIBILITIES:
  • Process Improvement & Operational Oversight: Identify and implement process improvements to enhance efficiency and effectiveness within the BD PMO team. Oversee and manage internal initiatives, ensuring alignment with organisational objectives. Establish and maintain PMO best practices while driving consistency in proposal development and execution.
  • Resource & Stakeholder Management: Act as the first escalation point for SME resource challenges, financial concerns, and workstream-specific issues. Work closely with resource management to proactively identify resource constraints, and resolve challenges. Attend regular pipeline meetings to ensure accurate updates on pitch plans and resource availability. Manage workflow between SME groups for efficient delivery. Own communication and coordinate teams across workflows, ensuring clear communication around timelines and deadlines. Manage day-to-day logistics of opportunity workflow between SMEs. Secure required resources from SME groups based on pitch needs. Lead tailoring meetings and confirm pitch cast and SME resource assignments. Work with RM to ensure all necessary paperwork is complete.
  • Financial & Risk Management: Support the financial management process for the BD department, including pitch health analysis, burn rate monitoring, and financial forecasting. Develop proposal timelines and estimates aligned with project scope and business objectives. Drive scope and change management, ensuring timely adjustments and stakeholder alignment. Conduct monthly and quarterly budget analysis, collaborating with Finance, PMO, and BD teams to ensure financial health and remediation when necessary. Support the development of pricing strategies for high-risk and complex RFI/RFPs within limited timeframes and information constraints.
  • Project & Delivery Management: Support the execution of BD proposals, ensuring timely, high-quality, and budget-conscious delivery. Own monthly, quarterly, and yearly reporting. Review and ensure all status and burn data is accurate in preparation for weekly meetings. Develop and execute risk mitigation strategies to address project uncertainties and challenges. Actively monitor BD pipeline dependencies, critical milestones, and team bandwidth to mitigate risks proactively. Facilitate pitch retrospective meetings, capturing lessons learned and driving continuous improvements. Ensure investment and change management approvals are documented, discussed, and implemented effectively. Support high-complexity and high-profile proposal efforts as needed, demonstrating expert problem-solving and decision-making skills.
Qualifications
  • MINIMUM KNOWLEDGE, SKILLS, AND ABILITIES: Advanced understanding of Project Management Information Systems such as Workfront, D365, Smartsheet and Microsoft Office Suite (Excel expertise required). Expertise in delivering strategy-driven, technology-based, and creative proposals. Strong understanding of agency growth strategies and how proposals align with long-term business objectives. Strong financial acumen in BD budgeting, project forecasting, and risk assessment. Experience leading financial management processes, including burn analysis and investment tracking. Ability to create and manage estimates, scopes of work, and project timelines. Effective communication skills (verbal, written, and presentation) with the ability to tailor messaging to diverse stakeholders. High emotional intelligence, adaptability, and problem-solving skills. Excellent critical thinking and decision-making abilities, especially in uncertain or high-pressure scenarios. Ability to navigate challenging conversations, provide constructive feedback, and drive consensus. A proactive and solution-oriented mindset with a strong sense of accountability and ownership.
  • PREFERRED QUALIFICATIONS: Master’s degree in business, Marketing, or related field (or similar qualification). + 8 years of experience including 1-2 years in team management. Preferred experience in Pharma or Agency settings (AOR or DAOR). Demonstrated business development experience, particularly in proposal lifecycle management. Proven success in managing highly complex, multi-faceted RFI/RFPs within fast-paced environments. Experience managing both different types of pitch efforts, from project to AOR. Ability to travel and work in the EU, UK, and rest of Europe. Fluent in written and spoken English. Additional European languages appreciated.
