Main duties of the job

The Clinical Systems and Data Administrator will play a vital role at Everest House Surgery by ensuring our IT and clinical systems run smoothly, securely, and effectively. The role combines first‑line IT support, data management, and NHS claims processes, helping our clinicians and staff deliver safe, efficient, and high‑quality patient care. From running essential reports and audits, to troubleshooting day‑to‑day IT issues, to ensuring compliance with data protection, this position is at the heart of how we use technology to support our patients and team.

Job responsibilities

  • To support the practice in the effective use of clinical and administrative systems, ensuring staff have reliable IT access and accurate data for patient care, reporting, and claims.
  • The role focuses on operational support and routine administration rather than strategic planning.
  • The role includes providing first‑line IT support, managing staff access to systems, being responsible for the practices claim, assisting with targets, running searches and reports, and ensuring compliance with data protection and information governance requirements.

Key Responsibilities

  • Clinical Systems & Data
    • Run searches and generate reports within clinical systems (e.g., for CQRS, QOF, enhanced services, audits, and recalls).
    • Prepare and submit NHS claims (e.g. CQRS, Public Health, Immunisation payments, QOF, etc.).
    • Assist with data quality improvement, ensuring accurate coding and record keeping.
    • Produce reports for clinicians and managers to support patient care and service monitoring.
  • IT Support & User Management
    • Provide first‑line IT support for staff, including troubleshooting issues with PCs, printers, and telephony.
    • Support the use of practice digital tools (e.g., EMIS/SystmOne, Docman, AccuRx, eConsult).
    • Manage user access: set up new accounts, permissions, and email addresses; remove access promptly when staff leave.
    • Provide IT induction and basic training for new staff members.
  • Data Security & Governance
    • Ensure compliance with GDPR, NHS Digital standards, and local Information Governance policies.
    • Assist with maintaining an asset register of IT equipment and user accounts.
    • Support system backups, software updates, and security measures.
    • Report potential breaches or issues to the Practice Manager.
  • Service Development
    • Assist with the implementation of new clinical systems, digital tools, and NHS initiatives.
    • Work with the management team to streamline workflows and improve use of data.
    • Contribute to audits, reporting, and the Data Security & Protection Toolkit.
  • General
    • Undertake other duties appropriate to the role as required by the Partners.
    • Promote the practice via social media and the website.
    • Maintain accurate operational records and ensure reports are up to date.

Person Specification

Knowledge and Skills

  • Basic knowledge of IT troubleshooting and support.
  • Awareness of data protection and confidentiality (GDPR).
  • Strong attention to detail and accuracy.
  • Good problem‑solving and logical thinking skills.
  • Effective communication and teamwork.
  • Ability to manage workload, prioritise tasks, and meet deadlines.
  • Understanding of NHS data requirements and claims processes.
  • Familiarity with NHS Information Governance standards.
  • Ability to train and support staff in system use.
  • Report writing and/or data analysis skills.

Qualifications

  • Good general education (e.g., GCSEs or equivalent, including IT).

Experience

  • Experience using IT systems and databases.
  • Proficient in Microsoft Office applications (Excel, Word, Outlook).
  • Experience handling data and producing reports or spreadsheets.
  • Experience handling routine administrative or operational data.
