Our client is scaling its UK operations across bus depot and fleet EV charging projects, and needs an Office Manager to keep everything on track behind the scenes. You'll be the person making sure installations happen when they're supposed to - chasing equipment, coordinating contractors, keeping documentation in order, and making sure nothing slips through the cracks across multiple live sites at once.
This is a great fit if you're naturally an organiser - the kind of person who runs a tight ship, keeps on top of admin without being asked, and enjoys being the one who knows exactly where everything stands. You don't need a background in infrastructure, construction, or engineering to succeed here - what matters most is genuine strength in office-based coordination and administration, ideally gained within a small or scaling business. You won't be on the tools yourself, but you'll be close enough to the action to understand what's happening on site, with one day a week out visiting projects to see it first-hand. Key Responsibilities- Support delivery planning across multiple live depot sites running in parallel
- Maintain and update the master programme schedule across UK locations
- Track progress from equipment order through delivery, installation, commissioning, and go-live
- Coordinate site readiness inputs and maintain clear action ownership
- Support governance routines including meeting cadence, action logs, and stage-gate documentation
- Coordinate inputs and updates from installation and delivery partners, internal technical teams, and site stakeholders
- Arrange travel, accommodation, and depot/site visits as required
- Support coordination of insurance documentation, certifications, and compliance records
- Produce clear progress updates and reporting packs for stakeholders
- Experience in an office management, operations coordination, business support, or project coordination role
- Highly organised and administratively strong - this is not an engineering or electrical qualification-based role but insight is helpful
- Experience gained within a small or scaling business is valuable - comfort with limited process and wearing multiple hats
- Confident using Excel and general office software as standard; ideally has used finance or CRM/ERP systems such as Xero, and comfortable picking up new platforms quickly
- Strong organisation, tracking, and reporting skills; confident managing multiple workstreams
- Right to work in the UK, willingness to travel to depot sites as required
