Job Description

Purpose: To support the Lead Planner with day‑to‑day planning activities during peak operational periods and undertake driving duties when planning support is not required.

The role focuses on managing short‑term operational plans, handling last‑minute changes, and ensuring clear communication with drivers and clients while maintaining full legal compliance.

The role also includes participation in the on‑call rota, providing out‑of‑hours support to live events.

To safely and efficiently deliver and install props and furniture to client events, working within stringent safety guidelines at all times.

To be the face of the company for all client interactions, providing excellent customer service at all times.

Responsibilities

  • Planning & Operations Support
  • Support the Lead Planner with day‑to‑day planning when workload requires additional resource.
  • Take ownership of all scheduled events and logistics plans as directed by the lead planner, ensuring plans remain accurate and up to date.
  • Manage and implement last‑minute operational changes, including driver sickness, driver legal hour limits, and client‑requested delivery or schedule changes.
  • Finalise updated plans and clearly communicate all changes to the driving team in a timely manner.
  • Communication & Customer Service
  • Participate in the on‑call rota, providing out‑of‑hours support to live event teams and managing urgent operational issues.
  • Handle inbound phone calls from clients and drivers, resolving day‑to‑day issues as they arise.
  • Make outbound calls to clients and drivers to organise and confirm daily activities as required.
  • Act as a key point of contact to ensure smooth delivery of services during live operations.
  • Administration & Coordination
  • Assist and collaborate with the Events and Logistics Office team regarding daily checks and administrative tasks.
  • Book couriers and hotels as required to support events and logistics operations.
  • Compliance
  • Maintain a strong working knowledge of driver rules and regulations, ensuring all plans and changes are fully compliant with legal and company requirements.
  • Flag and resolve any compliance risks before plans are issued to drivers.
  • Driving Duties
  • When planning support is not required, undertake driving duties in line with company needs and schedules, delivering props and furniture to client events using 3.5t and 7.5t vehicles.

Skills / Attributes

  • Must hold at least a 7.5 tonne driving licence.
  • Must hold a valid CPC certificate or Class 1 licence.
  • Must have no more than 3 points on driving licence.
  • Prior experience working directly with clients in a customer‑facing role.
  • Must live within under 1 hour commute of Thorp Arch.
  • Must be able to work 5 out of 7 days, including frequent nights and weekends.
  • Ability to communicate effectively with clients and stakeholders at all levels.
  • Strong verbal and written communication skills.
  • High level of accuracy and precision.
  • Ability to work independently as well as being a team player.
  • Ability to work well under pressure.
  • Good time management.
