About The Role

We're looking for a Crew Coordinator to join our team.

Reporting into our Head of Crewing, you'll play a key role in ensuring our events are adequately crewed, transport and logistics are coordinated for our freelance teams, and that our crew feel supported, informed, and ready to deliver exceptional events.

As part of a fast-paced and collaborative team, you'll help maintain crew resources, support event delivery planning, coordinate travel and logistics, and ensure all crew administration and compliance requirements are managed accurately and efficiently

  • Are confident using Microsoft Office and database/resource planning systems, with strong administration skills.
  • Understand the importance of handling confidential and sensitive information professionally and with discretion.
  • Previous experience in a similar role is preferred but not essential

  • What You'll Be Doing
  • Booking freelance staff and local crew, ensuring all project information is correctly communicated
  • Maintain accurate crew database, including personal details, contact details and rates, across all relevant systems
  • Update and maintain crew availability within the resource planning system
  • Monitor crew compliance, ensuring right-to-work documentation, Public Liability Insurance and other certifications remain valid and up to date
  • Co-ordinating freelancer inductions
  • Liaise with crewing suppliers to obtain resource lists and prepare security lists for each event
  • Managing changes to events following confirmation.
  • Coordinate travel and accommodation for crew using the company's travel booking platform, where required
  • Attend internal pre-production meetings to oversee a full sense check
  • Collating and distributing project related information (H&S documentation, Plans, Briefings & Security details)
  • Managing purchase orders for bookings
  • Work closely with the Finance team to ensure crew payments are processed on time and to resolve invoice queries
  • Communicating with our crew, internal clients, and venues
  • Manage and maintain records of crew uniform allocation and usage
  • Supporting the wider team with ad hoc tasks as required.
