About the Role
Our Project Assistants support the Project Management team across the planning and delivery of live events, helping with coordination, logistics, communication, and day‑to‑day project support while gaining hands‑on industry experience. This is a 12‑month placement with the possibility of a full‑time opportunity at the end of the contract.

Responsibilities
- Working with a wider team to support our clients’ requirements, understanding and proactively seeking ways to get involved and add value.
- Learning from our Client Services team on how to manage and satisfy clients as the key to creating lasting partnerships, as part of the team, keeping our clients happy and updated is a key part of the job (that doesn’t always mean saying yes!).
- Learning from the wider business, including client services, production and creative.
- Assisting the wider team in completing projects to a specific schedule and within an agreed budget.
- Supporting the production of an initial creative concept as part of a team on larger projects.
- Liaising with external suppliers.
- Preparation of mood boards, floor plans, production schedules and visuals.
- Learning how to produce accurate floor plans in Vectorworks and ensuring they are up to date and filed correctly.
- Onsite support and delivery as part of a team. This can take the form of anything from liaising with clients to distributing candles!
- Utilising a CRM, working in collaboration with commercial teams (production/sales/marketing) to measure business enquiries and to track their progress through the sales pipeline.
- Attending internal pipelines meetings and proactively taking an interest in our sales pipeline and how we’re tracking against our revenue targets.
- Learning how to create accurate schedules and collaborating with our Event Operations, Logistics and Crewing teams to ensure that your schedules are accurate.
- Shadowing our Project Managers in pitching meetings and supporting with RFPs.
- Learning how to generate accurate RAMS and ensuring they are distributed to the right people at the right times.
- Understanding reconciliation on projects, costs are allocated and the importance of ensuring that additional charges to clients are communicated in a timely manner to the relevant internal stakeholders.
Process & Governance
We’re very focused on keeping our people, crew and clients safe at all times. You’ll be attending relevant training and always have an eye on our Health and Safety policies. Flagging anything that concerns you from a Health & Safety perspective and always asking for help if you need it. Following up with clients post‑event and encouraging them (where appropriate) to complete our client satisfaction surveys. Working with our internal teams to close out any issues raised as ‘not quite perfect’ post event. Internally we call these Non‑Conformities or NCR’s and they are an important part of helping us constantly improve our service levels.
