We are now seeking a capable and motivated Reception & Support Coordinator to manage a range of front-of-house, travel, administrative, and health & safety functions in support of the wider team.
Role Overview
This is a diverse and hands-on role combining receptionist duties, executive team support, travel coordination, and DSE (Display Screen Equipment) assessments. You’ll be the first point of contact for visitors and staff, while also ensuring smooth day-to-day administrative operations and supporting our leadership team.
Key Responsibilities
- Reception & Front-of-House:
- Greet and welcome all visitors professionally
- Answer and direct incoming phone calls and emails
- Manage meeting room bookings and maintain a presentable reception area
- Handle incoming mail, deliveries, and general office enquiries
- Travel & Accommodation (Hotac & Travel):
- Coordinate domestic and international travel arrangements for staff and executives
- Book flights, hotels, and transfers while ensuring cost-efficiency
- Maintain accurate records of all bookings and itineraries
- DSE Assessments:
- Conduct workstation assessments in line with DSE regulations
- Provide recommendations and support to ensure employee wellbeing
- Maintain assessment records and follow up on adjustments
- Team Support:
- Assist with calendar management, scheduling, and meeting coordination
- Prepare documents, presentations, and reports as needed
- Provide ad hoc project and administrative support to executive leaders and managers
What We’re Looking For
- Previous experience in a similar multi-functional support role (preferred)
- Excellent communication skills, both written and verbal
- Professional, friendly, and proactive attitude
- Highly organised with strong multitasking abilities
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Discretion when handling confidential information
- Familiarity with DSE assessments is a benefit (training will be provided)
