The European Climate Foundation (ECF) is a major philanthropic initiative working to help tackle the climate crisis by fostering the development of a net-zero emission society at the national, European and global level. We deploy strategic grantmaking to support more than 800 partner organisations to carry out activities that drive urgent and ambitious policy in support of the objectives of the Paris Agreement, contribute to the public debate on climate action and help deliver a socially responsible transition to a net-zero economy and sustainable society in Europe and around the world.
Context of the role: The ECF Strategic Partnerships team oversees fundraising and relationships with the ECF's funding partners. We advise current and new donors for effective philanthropic investment in the ECF climate network, and we guide ECF's programmatic and operational teams on building strong funding partnerships. We are looking for a motivated and enthusiastic professional to support the team's engagement and stewardship of existing and new funding partners.
Role: The Partnership Officer will support the Strategic Partnerships team with:
- Donor Stewardship and Relationship Management: Providing structured operational and coordination support to Relationship Managers to enable high-quality stewardship and effective management of donor and prospect relationships.
- Planning and Coordination: Supporting Relationship Managers in planning and coordination of prospect and donor engagement and stewardship activities across the full donor lifecycle, including meetings, reporting, renewals, and engagement touchpoints.
- Development and Upkeep: Assisting with development and upkeep of prospect and donor engagement and stewardship plans, ensuring key milestones (meetings, reports, events, communications) are tracked and delivered on time.
- Coordination: Acting as a coordination point between Relationship Managers and internal teams (programmes, finance, legal, communications) to ensure smooth delivery of donor commitments, stewardship obligations, and information to support prospect engagement.
- Administration: Supporting planning and execution of fundraising meetings, including logistics coordination and on-site assistance; coordinating donor meetings and convenings; providing high-quality administrative support to the Executive Director.
- SP Intranet and Information Architecture: Leading the coordination and enhancement of the SP team intranet site, ensuring content is current, relevant, and strategically aligned with organizational goals.
- Travel and Meetings: Managing complex travel arrangements and bookings for team events; organizing and coordinating meeting arrangements for senior internal and external stakeholders.
- Communication Tools: Managing shared mailboxes and communication tools for the team, ensuring prompt follow-up and regular organisation and archiving in compliance with data retention policies.
- Database Management: Managing donor and partner databases with a focus on data integrity, confidentiality, and taxonomy consistency.
- Communication and Correspondence Preparations: Preparing emails, letters, reports, and other communication materials for internal and external stakeholders.
- Research and Analysis: Conducting in-depth research on potential donors, partners, and industry trends; preparing detailed reports and strategic summaries to inform fundraising strategies and initiatives.
- Finance: Assisting in budget tracking, expense reconciliation, and financial reporting, ensuring accuracy and compliance with organizational policies.
Experience and competencies:
- A genuine interest in the mission and values of the ECF.
- 2+ years' experience in administration or project management, ideally in a fundraising team.
- Experience in supporting donor stewardship, reporting, or relationship management processes in a fundraising, partnerships, or grant-making environment.
- Experience in creating and maintaining accurate and compliant records for large organizations, ensuring data integrity and confidentiality.
- Proven ability to develop and implement standard operating procedures for administrative tasks.
- In-depth knowledge of managing donor and partner databases with a focus on data integrity, compliance, and confidentiality.
- Detail-oriented with excellent organizational, analytical and interpersonal skills.
- Experience conducting in-depth research on potential donors, partners, and industry trends.
- Experience in managing content calendars for regular donor communications.
- Experience of Monday.com and Salesforce is appreciated.
