Responsibilities
- Provide administrative support and secretarial assistance to senior and/or other managers in the Climate Strategy and Delivery team.
- Ensure smooth running of the managers' business activities including extensive travel planning, expenses, diary management, internal high‑level meetings and day‑to‑day support.
- Arrange hotel/travel arrangements, itineraries and visas for the entire CSD Group according to EBRD policy.
- Carry out secretarial and administrative duties for the entire CSD Group, including Managing Director and Directors.
- Manage diaries, arrange internal and external meetings and conference calls, and receive visitors to ensure seamless execution.
- Draft, check and proofread correspondence as needed.
- Maintain comprehensive filing in hard copy and electronic systems (Teams Channels, Live link, etc.) and archive for managers/team.
- Conduct ad‑hoc or specific tasks assigned by the Line Manager when required.
- Maintain team shared calendar, weekly whereabouts and contact database.
- Provide secretarial cover during absences and handover notes to ensure a smooth transition.
- Support the CSD Budget Officer with budgetary functions for the CSD Group.
- Play a key role in organising travel and logistical arrangements for the EBRD Delegation at the annual Climate Change Conference (COP).
- Assist in managing and coordinating conferences and events; troubleshoot to ensure smooth and timely execution.
- Assist in organising and coordinating internal team‑building events such as team retreats and drinks.
Qualifications
- High school education (required).
- A recognised secretarial qualification is useful but not essential.
- Fluent in English with excellent written and oral communication skills.
- Knowledge of another language (e.g., Russian, German, French, or Arabic) both written and spoken is useful.
Experience and Knowledge
- Strong team player with ability to cooperate and collaborate effectively.
- Proven track record of relevant business experience.
- Knowledge of SAP is essential; tasks include raising purchase orders, preparing budget reports, creating parked journals, and generating cost recharge reports.
- Secretarial and administrative experience essential.
- Good organisational skills, proactive, flexible attitude to work.
- Ability to use initiative to undertake tasks and projects without guidance.
- Self‑motivated with ability to prioritise and multitask.
- Good communication skills, attention to detail, and accuracy.
- Good knowledge of the Department's procedures and the EBRD – useful.
