The Assistant is responsible for administrative support and secretarial assistance to senior and/or other managers in the Climate Strategy and Delivery team. The role covers the smooth running of managers\\\' business activities including travel planning, expenses, diary management including internal high-level meetings and day-to-day support. The role requires interaction across the Bank with Managing Directors and external clients and service providers when applicable.
Overview
The Climate Strategy and Delivery group comprises c.100 people, primarily based in London, responsible for the Bank\\\'s green and climate strategy, policy and operational support. The group coordinates the Bank\\\'s strategy in green and climate areas, supports Banking teams with specialist expertise to deliver green investment goals, and provides policy advice and technical support to clients and countries of operation. It is led by a Managing Director and divided into three teams: Policy, Research and Partnerships; Sustainable Business and Infrastructure; and Green Financial Systems. Administrative support for the group is centralized in a team of four Assistants, based in the Front Office but supporting the whole group. The Assistant provides secretarial and administrative support to Senior Managers and Managers and assists other Assistants/Officers as required. In the absence of the manager, the Assistant ensures routine office procedures are carried out and provides guidance to junior secretaries when needed. This role involves liaising with colleagues in Resident Offices and Headquarters and across various departments.
Responsibilities
- Manage and coordinate hotel/travel arrangements, itineraries and visas to ensure travel runs smoothly.
- Provide support to the CSD Budget Officer with budget-related tasks for the CSD Group, including raising purchase orders, creating parked journals, preparing cost recharge reports, and liaising with the EBRD procurement department.
- Carry out all secretarial and administrative duties for the entire CSD Group including the Managing Director and Directors (when required) to enable smooth running of the office.
- Assist the CSD HR Coordinator with onboarding new joiners and managing leavers within the team.
- Manage diaries, arrange internal and external meetings and conference calls, and receive visitors to ensure meetings are seamlessly executed.
- Draft, check and/or proofread correspondence as needed.
- Obtain appropriate sign-off on documents and ensure timely coordination and approvals.
- Prepare PowerPoint presentations and other materials for meetings/committees.
- Ensure team documentation undergoes quality management and control through drafting, checking and validation.
- Arrange all elements of travel according to EBRD policy and claim expenses promptly to avoid delays in payment.
- Maintain comprehensive filing in hard copy and electronic systems and archive for instant retrieval.
- Organise and coordinate filing in electronic systems (e.g., Teams Channels and Live Link) and manage information with quality control.
- Assist in managing conferences and events, ensuring details are organized and run smoothly.
- Play a key role in organising travel and logistical arrangements for the EBRD Delegation attending COP.
- Assist in organising internal team events such as retreats and socials to a high standard.
- Conduct ad-hoc tasks and maintain the team shared calendar, weekly whereabouts and contact database.
- Provide secretarial cover during absences and prepare handover notes to ensure smooth transitions.
Qualifications
- High School Education.
- A recognised secretarial qualification would be useful, but is not essential.
- Fluent English, with excellent written and oral communication skills.
- Knowledge of another language (e.g., Russian, German, French, or Arabic) would be useful.
- Secretarial and administrative experience essential.
- Knowledge of SAP is essential.
- Strong team player with the ability to cooperate and collaborate with other team members with a positive mindset.
- Good organisational skills, proactive and flexible attitude to work.
- Ability to use initiative and work without direct guidance.
- Good communication skills, attention to detail, and accuracy.
- Knowledge of the department\\\'s procedures and the EBRD; ability to cope under pressure and build effective relationships in a multicultural environment.
- Conscientious, reliable and flexible with a professional and helpful attitude; ability to multi-task calmly and manage multiple assignments.
- Excellent interpersonal manner, tact and diplomacy; ability to handle confidential information discreetly.
- Confidence to take on projects and quickly understand requirements.
Technical Skills
- Computer literacy: Windows, Microsoft Outlook, Word, Excel, PowerPoint.
- Knowledge of SAP essential.
- Typing speed of at least 55 wpm.
