About the Role
The Engineering Support Administrator provides efficient, accurate and proactive administrative support to the Engineering function. The role ensures maintenance systems, engineering stores information, purchasing activity, compliance records and preventive maintenance administration are kept up to date so the site can operate safely, reliably and cost-effectively.
Responsibilities
- Maintain accurate stock records for engineering spares and support effective inventory control.
- Raise purchase orders for replacement stock items, ad hoc spares, consumables and engineering materials in line with site requirements.
- Support capital expenditure administration, including purchase order processing and tracking.
- Work with suppliers, contractors and the accounts team to resolve invoice and purchasing queries promptly.
- Update the CMMS with downtime data, work requests, completed work orders and other maintenance records.
- Issue and close out planned preventive maintenance schedules, ensuring documentation is completed accurately and on time.
- Support engineers in documenting procedures, maintenance schedules and standard work instructions.
- Produce and maintain KPI reports covering areas such as maintenance performance, budget control, utilities and stores activity.
- Maintain engineering manuals, safety data, inspection records and thorough examination documentation in an organised and accessible format.
- Coordinate visits, works and service schedules with external contractors and agencies.
- Where required, collect urgent parts or materials from suppliers to support site priorities.
- Carry out all duties in line with company standards for health, safety, food safety, quality and good housekeeping.
Qualifications
- Previous experience in an administrative, stores, maintenance planning or engineering support role.
- Experience of stock control, materials management or MRP/ERP systems.
- Good working knowledge of Microsoft Office, particularly Excel, Word and Outlook.
- Confident using computerised maintenance management systems (CMMS) or similar data systems.
- Strong numeracy, accuracy and attention to detail.
- Able to plan, prioritise and work with minimal supervision.
- Strong communication skills and the ability to work effectively across functions.
- GCSEs or equivalent, including English and Maths.
- Food manufacturing or FMCG experience would be advantageous.
- Knowledge of continuous improvement, root cause problem solving, food hygiene or HACCP would be beneficial.
