We're looking for a Distribution Support Assistant to join our Distribution team on a fixed-term contract to cover maternity leave. Acting as a central point of contact between our distribution partner, suppliers, and purchasing department. Supporting our Andover warehouse, the role is responsible for coordinating and resolving day-to-day operational challenges, including delivery discrepancies, driver ETA queries, and providing system-based support to ensure the smooth running of warehouse activities. The role also involves direct interaction with members, providing timely and accurate responses to distribution-related queries such as stock availability, delivery lead times, and resolving any delivery issues. Delivering a high standard of customer service is essential, ensuring members are kept informed and supported throughout the order process. In addition, the role supports key operational processes including reporting, stock audits, and stock adjustments. This includes monitoring sales and stock levels, supporting replenishment activities, and producing regular reports to support decision-making and operational efficiency.
WHAT YOU WILL DO
- Distribution and Partner Management
- Liaise daily with distribution partners regarding delivery schedules and resolve any issues promptly and professionally.
- Provide inbound support to distribution partners, working with suppliers and purchasing teams to resolve delivery issues (e.g. late, failed, or unexpected deliveries, stock discrepancies).
- Customer and Member Support
- Communicate with members via telephone and email, providing accurate updates on orders, stock availability, and deliveries.
- Manage departmental mailboxes, ensuring all queries are handled efficiently.
- Process corrections for failed deliveries and raise applicable charges or fines where required.
- Support authorised staff purchases and ensure timely processing.
- Stock and Warehouse Coordination
- Coordinate stock transfers between locations and raise internal transfer requests.
- Provide system support for warehouse operations, including inbound/outbound corrections, stock quarantining, and bin maintenance.
- Assist with stock takes and warehouse audits as required.
- Reporting and Administration
- Produce and distribute regular stock, sales, and distribution reports within set deadlines.
- Monitor warehouse capacity and provide daily, weekly, and monthly reporting.
- Prepare reports and documentation for review and occupancy meetings.
- Record and distribute meeting minutes as required.
- Operational Support
- Release scheduled orders in line with predetermined dates.
- Process stock for promotional activities, events, and marketing campaigns.
- Manage temporary store closures to prevent deliveries during specified periods.
- Support ad-hoc stock adjustments, including invoice and credit processing.
- Team Support
- Provide cover across the department during periods of absence.
- Attend regular meetings with internal teams and external partners.
THE EXPERIENCE AND SKILLS YOU WILL HAVE
- Experience in a logistics, supply chain, warehouse, or similar operational environment.
- Previous customer service experience, with the ability to handle and respond to a variety of queries.
- Strong attention to detail and a high level of accuracy.
- Good working knowledge of Excel (intermediate level).
- Excellent communication skills, both written and verbal.
- Strong organisational skills with the ability to prioritise and manage your workload effectively.
- Ability to work both independently and as part of a team.
