To work with the Workshop Controller and front of house to control the flow of job cards to maximize technician utilization and administrator invoicing. Ensure all job packs meet manufacturer guidelines. Achieve all KPI’s as set out by the company and manufacturer.

Reporting

The Workshop Admin Support will report to the Service Manager.

Key Responsibilities

  • Quality check job pack in line with audit standards and deliver to admin team in a timely fashion.
  • Track jobs through the workshop system, proactively identifying delays or missing information.
  • Liaise with technicians, service advisors, and parts teams to ensure all required details are captured for invoicing.
  • Ensure all labour, parts, and subcontractor costs are correctly allocated to each job.
  • Assist the workshop controller with day to day admin support.
  • Prepare and administer esculabs and Customer authority portals.
  • Monitor and update workshop loading to maximize sold hours.
  • Ensure service reception is constantly updated on workshop progress with internal communication to best practice standards.
  • Obtain authorization for any additional work either through service reception or by direct contact with the customer.
  • Maintain a full audit trail of authorisations and customer communication (eWIP).
  • Ensure quality control procedures are carried out.
  • Ensure correct completion of Visual Health Check process.
  • Provide Service Advisor cover in times of absence and assist with job pack creation, updates, eWIP management as and when required.
  • Comply with all Health and Safety regulations.

  • Ensure job pack is in line with manufacturer standards/quality before issuing for invoicing.
  • Achieve operational and financial targets through job card quality and speed of invoicing.
