We are looking for a Project Administrator to support the delivery of one of our flagship programmes, the National Centre for Excellence in the Teaching of Mathematics (NCETM). This role is for someone who genuinely enjoys keeping things running smoothly, spotting what’s missing before it becomes a problem, and making sure people feel supported along the way.
The role involves providing high-quality administrative support across a range of activities, including:
- Delivering high-quality administration across multiple programmes, meeting deadlines and quality standards
- Coordinating logistics for online and in-person events, including eligibility checks, invitations, and follow-up
- Managing shared mailboxes and Freshdesk tickets, responding accurately and professionally within agreed SLAs
- Supporting recruitment processes and maintaining accurate recruitment data
- Validating and reporting data in line with Maths Hubs network deadlines and GDPR requirements
- Processing project finance tasks, including POs and invoices
- Tracking accreditation and endorsement records
- Creating and distributing surveys, monitoring completion, and sharing results
- Uploading and managing post-event resources, including editing and publishing recordings
- Supporting system development and testing, helping improve tools and processes
- Opening and supporting online events, including Zoom session management
- Working flexibly across the team, providing cover and support during busy periods or staff absence
We care a lot about how work gets done, not just that it gets done. You will be expected to deliver high-quality work with focus and ownership, use judgement, discretion, and consistency, communicate clearly and respectfully, and be flexible and supportive.
Success in this role means:
- Events delivered seamlessly, with participants well supported
- Accurate attendance and engagement data that supports reporting and certification
- Strong working relationships across Etio, NCETM, and partner organisations
- Up-to-date workflows, trackers, and documentation
- Risks and issues spotted early and escalated clearly
- Deadlines met consistently, building confidence across stakeholders
Skills and experience required include:
- At least 1 year’s experience in business, data, or events administration
- Strong academic or vocational background
- Excellent organisation and attention to detail
- Experience managing competing priorities and deadlines
- Confidence working independently without close supervision
- Advanced Office 365 skills, especially Excel
- Clear, professional written and verbal communication
- Discretion and professionalism when handling sensitive information
- A proactive, problem-solving mindset
- Business administration qualification (Level 3 or above)
