Summary:

As a University Recruiting Project Specialist, you will be an integral member of our high-performing Talent Acquisition team, serving as a trusted advisor and business partner to stakeholders across the globe. In this role, you will provide critical support to University Recruiters and other business units involved in hiring matriculating students, early-careers, and specialized talent initiatives as a recognized subject-matter expert on recruiting operations, systems, and best practice. You will coordinate logistics, manage recruitment systems, and support the day-to-day operations that enable our recruiters to attract and engage top talent across a variety of programs and efforts. Success in this position requires exceptional organizational skills, a proactive customer service mindset, and the ability to adapt quickly in a fast-paced, dynamic environment while maintaining the highest standards of professionalism and confidentiality.

In this highly visible position, you will help represent the Client brand through strong partnerships with internal and external partners, professors, vendors, and students, building excitement and awareness around our early-career opportunities. You will manage end-to-end logistics for recruitment systems and events, ensuring a seamless, high-touch experience for candidates and fostering effective collaboration with academic institutions and third-party partners. While most responsibilities are office-based, you will also have opportunities to travel to local and large-scale campus events as needed. Success in this role demands creative problem solving, outstanding communication skills, and the ability to juggle multiple priorities with a high degree of accuracy. Responsibilities:

  • Coordinate Event Support: Provide operational enablement for annual campus recruiting and internship programs. Partner 1:1 with Recruiting Program Managers and University Recruiters to schedule virtual interview days, in-office events, and other candidate outreach. Manage logistics for on-campus and virtual career fairs, networking events, and information sessions. Oversee travel bookings, shipping of marketing materials, catering, room reservations, and video-conference setup (Webex/Teams).
  • Pipeline & Candidate Management: Coordinate onsite and virtual interview days, delivering a high-touch candidate experience. Maintain data integrity across recruiting systems: input event data, create online surveys, upload resumes, tag candidates, and manage 35+ active job postings.
  • Finance, Procurement, & Reporting: Onboard and manage approved suppliers, supporting contract review as needed. Track and reconcile recruiting expenses against approved budgets, ensuring accurate cost-center coding in financial systems and corporate purchasing cards. Process event registrations, reimbursements, invoices, deposits, and purchase requests in compliance with policy. Generate regular reports on recruiting activities, budget status, and process metrics to inform leadership decision-making.
  • Brand Promotion & Relationship Management: Amplify Client’s employer brand through events, collateral distribution, and social media posts to attract high-potential talent. Build and nurture partnerships with university career centers, professors, student organizations, external vendors, and internal stakeholders.
  • Additional Responsibilities: Support special recruitment events (virtual interview days, sales competitions) and respond to attendee inquiries. Document processes, sharing best practices across teams. Prepare presentations and data in PowerPoint or Excel. Manage ordering of recruitment collateral and gather public university data. Undertake ad-hoc leadership requests and special projects.

Education:

Bachelor’s Degree required; degrees in Business Information Systems, Management Information Systems, Computer Science, or related field preferred.
