Summary:

β€’ Provide administrative support for highly sensitive HR records, compliance, and reporting projects, including personnel file management, document control, auditing, and statutory reporting activities in our Egham office.

Key Responsibilities:

Personnel Records & Document Management

β€’ Review, organize, audit, and digitize personnel files for UK employees

β€’ Scan, index, and upload employment documentation into Workday and other designated repositories.

β€’ Verify the completeness and accuracy of employee files, identifying and following up on missing documents.

β€’ Maintain audit logs and documentation inventories.

β€’ Assist with records retention, archiving, secure storage, and document disposal activities in accordance with company policies and applicable regulations

Compliance & Reporting Support

β€’ Provide administrative support for compliance, audit, and employment documentation projects.

β€’ Assist with preparation activities for statutory reporting requirements in the UK, including data gathering, validation, reconciliation, and tracking.

β€’ Handle highly confidential employee information with discretion and in strict compliance with GDPR and other applicable data privacy requirements/ regulations.

HR Operational Support

β€’ Provide administrative support for employee separation and termination processes, including document preparation and case tracking

β€’ Assist with invoice administration, vendor tracking, and related HR administrative activities.

Requirements:

β€’ Previous experience in HR administration or similar role

β€’ Strong organizational and communication skills, with excellent attention to detail.

β€’ Ability to manage large volumes of documentation accurately and confidentially.

β€’ Proficiency in Microsoft Office applications, particularly Excel.

β€’ Experience with HR systems, preferably Workday, is desirable.

β€’ Professional working proficiency in English
