Scope and Key Accountabilities of Role:
This role offers a unique opportunity to support a close-knit department with a broad range of administrative and coordination tasks. As the central point of contact for access management, logistical support, and day-to-day office operations, the successful candidate will play a key role in maintaining the efficiency and compliance of internal processes. The position blends digital coordination with occasional hands-on tasks, requiring flexibility, attention to detail, and a strong sense of ownership. You will work closely with internal teams and external systems to ensure all requests and operations are handled with precision and care.
Responsibilities:
- Provide day-to-day administrative support to a small and dynamic team, ensuring smooth operations across various functions.
- Manage building access requests across EMEA via internal and external web portals, maintaining accuracy and consistency in request entries.
- Perform audits of access logs and investigate discrepancies, using spreadsheet analysis and data comparison techniques.
- Utilize tools such as Jira and other ticketing systems to manage tasks and workflow.
- Research, price, and order office supplies, equipment, and furniture as needed to support team productivity and office operations.
- Participate in project-based administrative support, assisting team members in the execution of internal initiatives.
- Handle light physical tasks such as managing inventory, moving packages, and preparing workspace setups.
- Contribute to a collaborative team culture by supporting a wide variety of general admin responsibilities.
What skills you will need:
- 3β5 years of experience in an administrative or coordination role, ideally in a technical or fast-paced environment.
- Strong working knowledge of Microsoft Excel (including filtering and comparison features), Word, and web-based form platforms.
- Excellent attention to detail and the ability to analyze and reconcile data accurately.
- Comfortable working in a macOS/Apple Mac environment.
- Ability and willingness to travel to Slough, Acton, and Docklands when required (must have access to a car).
- A proactive and hands-on approach to work, with the flexibility to adapt to a variety of administrative and logistical tasks.
