- We are currently looking for a highly organised
Administrative Assistant to support a busy Operations team within a global engineering and industrial services environment.
This is an excellent opportunity for an administrator who enjoys working in a fast-paced environment, managing multiple priorities, and supporting operational teams with documentation, reporting, supplier coordination, and project administration.
Key Responsibilities
- Provide day-to-day administrative support to the Operations team.
- Maintain tracking spreadsheets for equipment and personnel costs.
- Create purchase requisitions and maintain accurate operational records.
- Support equipment mobilisation and demobilisation activities.
- Assist with pre-job and post-job administration, ensuring documentation is complete and accurately filed.
- Maintain project trackers and update operational plans throughout the year.
- Liaise with suppliers to obtain competitive pricing for third-party equipment and services.
- Create and maintain reports, spreadsheets, and departmental documentation.
- Support cross-functional teams during periods of holiday or sickness cover.
- Ensure accurate record keeping while maintaining compliance with company procedures.
- Required Skills & Experience
- Previous experience in an Administrative Assistant, Operations Administrator, Project Administrator, or Office Administrator role.
- Strong Microsoft Office skills, particularly Excel.
- Excellent organisational and time management skills.
- Strong written and verbal communication skills.
- High attention to detail with excellent record-keeping abilities.
- Ability to work independently and manage multiple tasks simultaneously.
- Experience using CRM or business systems is beneficial.
- Experience with Oracle, Maximo, or similar ERP systems would be an advantage.
