We are looking for a meticulous and proactive Tenancy Manager to join our Vacation Department. In this role, you will be the central point of contact for tenancy terminations and transitions, bridging communication between tenants, landlords, and internal teams. Your efficiency and adherence to tenancy agreements will be crucial for seamless vacation processes and supporting the wider property management team.

Key Responsibilities:

  • Vacation Notice Processing: Accurately and promptly process vacation notices received from both tenants and landlords.
  • Guidance on Notice Procedures: Provide clear and concise guidance to tenants and landlords regarding the correct procedures for serving notice, ensuring compliance with tenancy terms.
  • Early Release Coordination: Manage early release requests, ensuring all necessary approvals and procedures are completed efficiently.
  • Check-Out Appointment Management: Liaise effectively with tenants, landlords, and letting offices to schedule and confirm check-out appointments.
  • Tenancy Expiration Reporting: Prepare and maintain a monthly list of properties with upcoming tenancy expirations, sharing it with relevant letting offices for proactive follow-up.
  • Check-Out Report Distribution: Coordinate the timely delivery of check-out reports and related documents to property managers, tenants, and landlords.
  • Interdepartmental Liaison: Connect tenants and landlords with the appropriate internal departments to address specific queries or issues efficiently.
  • Action Sheet Distribution: Distribute action sheets and instructions from inventory companies to property managers and other relevant teams.
  • Reporting & Analysis: Prepare weekly and monthly departmental reports for the Director of the Management Team, highlighting key metrics, pending actions, and upcoming terminations.
  • Data Management: Maintain accurate records of all vacation-related activities within internal systems, ensuring data is kept up-to-date.
  • Administrative Support: Provide general administrative support to ensure the smooth and efficient operation of the Vacation Department.
