An exciting opportunity has arisen for a full-time Personal Assistant within East Division Command. This role will be based at Folkestone Police Station, with the expectation of occasional travel to other sites within the Division as required.

As a Personal Assistant (PA), you will be providing a full range of services, including taking minutes/actions, email and diary management, and producing correspondence in order to provide full secretarial support to the Senior Leadership Team (SLT). You will be responsible for arranging events on behalf of the SLT such as Awards Ceremonies, therefore experience in this would be an advantage.

You will be organising meetings on behalf of the Senior Leadership Team and preparing all paperwork beforehand, distributing agendas, minutes and reports as necessary, in order to ensure that all participants are prepared. You will be required to attend meetings to provide PA support, taking minutes and actions as and when required, as well as on rare occasions for multi-agency county emergencies specifically, providing administrative support for meetings, actions and auditable documentation.

The post holder will be required to organise and prioritise their own workload, working independently and at times under pressure. Previous secretarial or administration experience is an essential.

You will have knowledge and experience of various Microsoft packages as you will be responsible for diary and email management via use of Microsoft Outlook, utilising systems to implement and develop effective tools to manage a high volume of correspondence from a variety of internal and external stakeholders and Staff, enabling the Senior Leadership Team to operate efficiently and effectively in respect of their core duties.

The commitments of the Senior Leadership Team can be fluid and dynamic – to support this, you should be flexible and be able to make decisions in order to prioritise and adjust workloads in order to meet critical deadlines.

You will form part of PA teams within your command and a wider county-wide team, and as such evidence of strong communication and team working skills is desirable.

As the first point of contact for the Senior Leadership Team and a representative of Business Services, the post holder must have effective communication skills, self-confidence, and the ability to apply tact and diplomacy at all times. You may also possess previous experience in a customer service role. The role requires initiative and judgment to respond to and deal with problems sensitively and confidentially as they arise, without the need for support, therefore being innovative and open minded would be advantageous.

A good general level of education ideally to A level standard, with a GCSE or equivalent level pass in English language, is essential.

Kent Police offer smarter working which allow some flexibility in terms of work arrangements. Due to the operational nature of this role, there will be an expectation to travel to the office at least twice per week, but occasionally more, dependant on the requirements of work.

Kent Police offer incremental increases within this salary band, therefore the salary for this position will rise to a maximum of£32,841.00.
