Overview

To work as a member of the Administration service ensuring that a high quality and efficient service is provided at all times.

Responsibilities include patient data management on SystmOne and operating a centralised administration service to support clinical services and functions within the Trust\'s localities. The Administration Officer will ensure the timely and accurate recording of all activity across services using trust information systems. The post holder will require a team approach to ensure cover for absence across all services/locations and may be required to relocate to provide cover.

Responsibilities

  • Patient data management on SystmOne.
  • Maintain smooth running of the office, including stationery audits.
  • Telephone support, receiving and making calls to patients including making appointments on SystmOne and handling general queries relating to appointments.
  • Operate as a centralised administration service providing a comprehensive administration service to support clinical services and functions within the Trust\'s localities.
  • Ensure the timely and accurate recording of all activity across services using trust information systems.
  • Provide cover across all services/locations as part of a team approach and be prepared to relocate to provide cover when required.

Requirements and expectations

  • Be skilled and experienced in the full range of administrative work practices, software programmes and specialised functional terms; additional training will be provided.
  • Proficient with knowledge of Patient Records management, supporting new users and instructing them as necessary; use knowledge and experience to meet the needs of clinical teams by completing non-routine tasks daily.
  • Operate the Trust\'s central telephony systems.
  • Ensure all referrals are actioned and processed in a timely manner.
  • Answer incoming phone calls and handle them to minimise waiting times.
  • Flexibly cover across Rochford Hospital and Kingsley centre as required (notice given in advance).
  • Include professional references with business contact information covering the last three years of employment history as part of the application.
  • As a new employee, you are responsible for incurring the cost of your initial DBS check relevant to your post; deduction from first salary will apply.

  • We are looking for an experienced candidate with excellent administration, interpersonal and organisational skills. Computer literacy with MS Word and Excel; training on PARIS and other internal systems provided. PARIS experience is advantageous.
