Maldon District Council is working in partnership with Essex Shared Services to support the role of Project Support Officer, a full-time position offering hybrid working with a minimum of 2 days in the office per week.

Role Purpose:

  • To support the delivery of the projects through effective project and programme administration.
  • To ensure projects and initiatives are accurately documented, monitored, and progressed in line with agreed plans.
  • To enable the division to meet statutory and corporate objectives by providing timely and reliable information, reporting, and administrative support.
  • To facilitate communication and collaboration across internal teams, stakeholders, and external partners to ensure smooth delivery of projects and programmes.
  • To maintain high standards of compliance, record-keeping, and reporting, supporting good governance and accountability within the division.
  • To support coordination for enquiries, ensuring responses are managed efficiently and escalated appropriately.
  • To contribute to continuous improvement in project processes and systems, supporting a culture of efficiency, effectiveness, and customer-focused delivery.
  • Be a role model for the service, demonstrating authenticity, integrity, resilience, and compassion while focusing on communication, personal development, and wellbeing.

Accountabilities - Service Delivery:

  • Maintain accurate and up-to-date records of all projects, programmes, and initiatives.
  • Monitor project progress and highlight any issues, risks, or delays to the relevant managers or programme boards.
  • Support the preparation of reports, briefings, and documentation for internal and external stakeholders, including committees and partner organisations.
  • Coordinate meetings, agendas, and actions for project boards, working groups, and other forums to ensure timely follow-up and accountability.
  • Assist in the development, implementation, and review of project processes, ensuring compliance with corporate and statutory requirements.
  • Facilitate communication between teams, stakeholders, and partners to enable smooth project delivery and collaboration.
  • Contribute to continuous improvement initiatives, identifying opportunities to streamline processes, improve efficiency, and enhance customer outcomes.
  • Support the division in providing excellent customer service by responding to enquiries and requests promptly and effectively.

The Experience You Will Bring:

  • Educated to A Level standard, NVQ Level 3, or equivalent relevant experience.
  • Evidence of continuous professional development (CPD) or ongoing learning relevant to project or programme administration.
  • Management or specialist qualifications are not essential but may be an advantage depending on project responsibilities.
  • Understanding of local government structures, planning, and growth processes.
  • Awareness of statutory and corporate requirements relevant to corporate & capital projects.
  • Good understanding of customer service standards and expectations in a public sector context.
  • Knowledge of continuous improvement, business process redesign, and quality control principles.
  • Working knowledge of project and programme management principles and methodologies is desirable but not essential.
  • Demonstrable administration experience essential.
  • Experience in project or programme administration within a professional or public sector environment desirable but not essential.
  • Experience of coordinating meetings, boards, and actions, including accurate documentation and follow-up.
  • Proven experience of working collaboratively with internal teams, stakeholders, and external partners.
  • Experience in maintaining accurate records, data management, and producing reports to support decision-making.
  • Strong organisational and time management skills, with the ability to manage competing priorities effectively.
  • Excellent verbal and written communication skills, including producing clear reports and presentations.
  • Ability to work independently and as part of a team, demonstrating initiative and adaptability.
  • Confident in using technology and Microsoft 365 applications, and ability to quickly learn service-specific systems.
  • SharePoint experience desirable.
  • Demonstrates resilience, professionalism, and a collaborative approach under pressure.
