The role contributes to the management of the Council’s extensive and diverse non‑housing property portfolio to support the growth and regeneration of the town and maximise income to the council by providing administrative and property management support across the Council’s non‑housing commercial property portfolio, helping maintain records, responding to tenant enquiries, coordinating contractors and supporting financial and operational processes.

Key Responsibilities:

  • Assist with the preparation of service budgets and manage budgets within the post holder’s area of responsibility, assisting in delivering an efficient and effective budget monitoring service as part of the overall property management function.
  • Assist in maintaining property information by updating records, tenancy details and operational data.
  • Support regular review of property issues, logging tenant enquiries and preparing updates for the Senior Commercial Property Manager.
  • Act as first point of contact for day‑to‑day tenant enquiries.
  • Log and track maintenance and facilities management issues.
  • Provide routine property information to internal teams when required.
  • Work alongside and liaise with external consultants on rent review and lease renewal work, providing information to them as requested.
  • Update property systems following lease events and manage information flow between teams.
  • Process tenant requests for landlord consents, including logging, gathering information and issuing standard correspondence.
  • Meet tenants at properties to hand over/collect keys at the start/end of tenancies and complete utilities meter readings and compliance documentation as required.
  • Assist in preparing and issuing rent, service charge and ad hoc invoices.
  • Collate expenditure and documentation for service charge year‑end accounts.
  • Maintain databases and spreadsheets relating to budgets and recharges.
  • Support purchase order administration and contractor invoice verification.
  • Forward insurance claim information to insurers and maintain simple progress logs.

Experience and Qualifications:

  • You will have a degree or post‑graduate diploma or equivalent. It would be desirable if this related to surveying or property management, but degree level experience is essential.
  • You will need to have good numeracy skills and be competent in the use of Microsoft Excel.
  • Commercial project management experience is desirable.
  • Able to produce clear concise reports - articulate and precise presentation of information.
  • Able to analyse information.
  • Must be able to work well under pressure.
  • Organised and a flexible approach to work.
  • Willingness to be proactive.
  • Practical and tactful approach to problem solving.
