The Service Administration Coordinator plays a critical role in supporting the delivery and growth of Esco GB’s healthcare service operations. This position ensures the effective coordination of installation, commissioning, and service activities while driving service revenue through contract sales, repair services, and spare parts. The role requires strong organisational capability, commercial awareness, and a commitment to customer satisfaction.

Hours: 08:00 to 16:00, Monday to Friday
Strategic Impact:
- Contribute to the growth of healthcare service revenue through proactive service contract sales and after-sales support.
- Strengthen long-term client relationships by delivering high-quality service coordination and technical support.
- Support business objectives by improving operational efficiency, profitability, and service delivery standards.
- Play a key role in expanding the healthcare service portfolio and market presence.
Key Responsibilities:
- Responsible for managing all site activities for Healthcare installation, commissioning & service workload, plus spare parts.
- Reaching out to existing customer base to rebuild service relationships and sell EGB’s equipment knowledge.
- Liaising with existing Esco Client/Site managers to ensure all correct procedures and documentation are put in place prior to travel.
- Manage subcontract service engineers' schedule for all healthcare site works.
- Building the service work portfolio to increase revenue for healthcare service.
- Build sales of spare parts with existing clients and promote critical spares being held by the client on their site.
- Ensuring that all required test equipment is in good working order and maintained with valid certification.
- Responsible for ensuring all site engineers maintain the correct training requirements for all sites.
- Responsible for ensuring all site engineers represent Esco in a professional and competent manner.
- Ensuring that all site engineers comply with site-required PPE equipment and have all the relevant workwear to ensure a professional appearance when on site representing Esco.
- Maintain a good understanding of the relevant documentation required to be completed on site for installation, commissioning, and service work.
- Have a reasonable working knowledge of the equipment to enable you to support site engineers if required.
- Work well with internal clients (Project managers, Mechanical / Electrical engineers) to ensure any coordination or technical support is carried out efficiently.
- Stock management, ensuring common items are stocked vs sales & assembly trends.
- Responsibility for Site work budgets, ensuring that correct margin levels are achieved on commissioning of equipment.
Continuous Improvement:
- Identify opportunities to streamline service coordination processes and improve operational efficiency.
- Implement best practices in scheduling, communication, and service delivery.
- Support ongoing improvements in customer satisfaction and service quality through feedback and performance analysis.
- Promote a culture of proactive problem-solving and operational excellence.
Compliance and Risk Management:
- Ensure all service activities comply with health & safety regulations, site-specific requirements, and company policies.
- Maintain oversight of risk assessments and ensure appropriate mitigation measures are in place.
- Verify that all engineers hold valid certifications, training, and required PPE before attending site.
- Ensure all test equipment is properly maintained and calibrated.
- Monitor adherence to documentation standards for installation, commissioning, and servicing.
Performance Metrics:
- Achievement of service revenue targets (contracts, repairs, and spare parts sales).
- Customer satisfaction and retention rates.
- Efficiency and timeliness of service scheduling and delivery.
- Compliance with budget and margin targets.
- Reduction in service delays, errors, or compliance issues.
Key Skills and Experience:
- Minimum of 5 GCSEs (Grade C/4 or above), including Maths and English.
- Proficiency in Microsoft 365 (Excel, Word, Outlook, Teams).
- Knowledge or experience in risk assessments and compliance processes.
- Strong organisational and administrative skills with attention to detail.
- Excellent communication skills (written and verbal).
- Ability to manage multiple priorities and work under pressure.
- Commercial awareness with a focus on revenue generation and customer service.
