We are seeking a motivated and organised Practice Administrator to join our friendly and supportive primary care team. The postholder will play a vital role in ensuring the smooth running of day-to-day administrative and clinical support processes, contributing to high-quality patient care and effective practice operations.

Job responsibilities
- Act as a point of contact for patients regarding referrals, appointments and administrative queries, providing a professional, friendly and patient-focused service.
- Deal with patient and clinician queries relating to patient care, treatment and referrals, highlighting issues as appropriate, including requests for referrals to be expedited.
- Investigate complex patient enquiries and liaise with the clinical team to ensure patients receive appropriate treatment and care in a timely manner.
- Ensure patients medical records are summarised accurately and promptly upon receipt.
- Monitor daily appointment schedules, ensuring bookings are appropriate, capacity is maintained and available appointments are utilised effectively.
- Review and manage patient-related tasks within the clinical system, ensuring tasks are completed within agreed timeframes and prompting team members where actions are overdue.
- Check laboratory results, reallocate as required, respond to unmatched items and ensure results are reviewed by the clinical team in a timely manner.
- Review and respond to items in the generic mailbox, dealing with relevant matters and allocating or escalating items to appropriate team members as required.
- Coordinate patient recalls and reviews, supporting data entry, recall systems and reporting requirements (including QOF and Enhanced Services).
- Ensure appropriate monitoring and recording of national screening programmes (e.g. breast, bowel, cervical screening).
- Support the practices Population Health system, contributing to the management of patients with the highest clinical and social needs.
- Maintain accurate databases and support data quality improvement initiatives.
- Assist with internal and external audits, information requests and reporting requirements.
- Support compliance with NHS, CQC and local policies and procedures.
- Provide administrative support to the management and leadership team to ensure effective and efficient practice operations.
- Be a key member of the administrative team, establishing strong working relationships with clinicians, managers and colleagues across the practice.
- Participate in team meetings, training and continuous professional development activities.
Experience
- Previous administrative experience in a healthcare or similar setting.
- Excellent organisational, communication and time management skills.
- Proficient in Microsoft Office.
- Strong attention to detail with effective problem-solving skills.
- Professional, friendly and patient-focused approach.
- Adaptable, resilient and able to work under pressure.
- Team player with a flexible and proactive approach.

- Experience working in a GP Practice or NHS environment.
