This is an office-based role within the Logistics Department, responsible for the coordination of all inbound and outbound stock movements with third-party warehouse partners. The role ensures that all client orders are accurately picked, packed, and shipped in line with each account’s specific requirements and delivery standards. The position also plays a key role in inventory management and end-to-end shipping operations across the business, supporting both wholesale and retail functions. This includes oversight of picking and packing processes for retail operations to ensure accuracy, efficiency, and service excellence.

Responsibilities & Key Deliverables
- Build and maintain strong, trusted relationships with internal teams and external wholesale clients, ensuring a consistently elevated standard of communication, responsiveness, and service across all touchpoints.
- Take full ownership of daily coordination with third-party warehouse partners, overseeing inbound and outbound stock movements, inventory integrity, and all associated operational logistics requirements.
- Manage end-to-end communication with the Production team regarding inbound finished goods, including freight booking, supplier coordination, quotation management, and consolidation of all required shipping and customs documentation.
- Ensure the timely and accurate fulfilment of all wholesale orders from third-party warehouses across the UK, Italy, and USA, aligned with seasonal delivery schedules, critical trading windows, and client expectations.
- Develop and maintain strong relationships with freight forwarders, carriers, and logistics partners to secure reliable, efficient, and cost-effective transportation solutions.
- Maintain accurate and up-to-date logistics data, including shipping records, contact databases, and operational information across all internal systems.
- Act as a key point of contact for all international shipping, customs compliance, and import/export documentation requirements, providing clear guidance and cross-functional support where needed.
- Prepare, verify, and process all export documentation for global shipments, including customs declarations, certificates, and supporting compliance paperwork, ensuring accuracy and regulatory alignment.
- Monitor shipments end-to-end from dispatch through to final delivery, proactively managing exceptions, resolving delays, and providing clear, timely updates to internal stakeholders and wholesale partners.
- Maintain and continuously refine seasonal shipping instruction manuals, ensuring all processes are accurately documented and consistently updated within Zedonk and internal systems.
- Identify and implement opportunities for continuous improvement across logistics and supply chain operations, enhancing efficiency, accuracy, and cost-effectiveness.
- Manage wholesale and private client returns processes, including timely credit note processing, coordination of repairs or replacements, and regular status reporting.
- Coordinate stock swap and re-order requests in collaboration with wholesale clients to support evolving commercial and seasonal requirements.
- Investigate and resolve stock discrepancies through detailed inventory analysis and close collaboration with warehouse, merchandising, and finance teams.
- Support global wholesale stock allocation planning in partnership with Wholesale and Merchandising teams, ensuring optimal in-season availability and fulfilment performance.
- Coordinate logistics for international events, activations, and sales campaigns, including shipment of merchandise, fixtures, and supporting materials in line with brand standards.
- Produce and maintain weekly logistics performance reporting, including shipment tracking, invoicing status, dispatch performance, and ready-to-ship analysis.
- Oversee logistics and inventory processes for off-price and sample sale stock, ensuring accurate labelling, secure handling, and efficient warehouse execution.

- Advanced proficiency in Zedonk or a comparable ERP system is essential, including maintaining precise system records, generating and analysing performance reports, and supporting the effective execution of day-to-day wholesale and logistics operations.

Skills, Experience & Capabilities
- Degree educated or equivalent professional experience.
- Minimum of 5 years’ experience in a commercial business environment, ideally within apparel, luxury fashion, or premium wholesale operations, with proven expertise in wholesale order management and logistics coordination.
- Strong understanding of global logistics, end-to-end supply chain operations, and international distribution networks.
- Solid knowledge of HS code classification, customs regulations, import/export compliance, and international shipping documentation requirements.
- Advanced proficiency in Zedonk or a similar ERP system, with confident use across data management, reporting, and day-to-day operational support.
- Proven experience in negotiating and benchmarking freight and logistics services to deliver cost-effective, efficient, and service-led transportation solutions.
- Advanced proficiency in Microsoft Excel and the wider Microsoft Office Suite, with strong analytical capability and confidence in working with complex operational data and reporting.
- Strong commercial awareness with the ability to engage confidently and professionally with internal stakeholders, clients, suppliers, and logistics partners, making informed decisions aligned to business priorities.
- Excellent written and verbal communication skills, with a proven ability to build and maintain strong, trusted relationships across all levels, both internally and externally.
