Job Description

We are seeking an experienced and highly organised Atelier and Bespoke coordinator to support the Atelier Manager and wider studio teams across both seasonal collections and Bespoke. The Atelier Coordinator is responsible for ensuring materials, information, schedules and trackers are prepared and kept up to date, enabling smooth daily workflow, timely fittings and accurate handovers. The role is balanced approximately 50/50 across Collection and Bespoke and reports to the Atelier Manager.

Key Roles & Responsibilities

  • Collection (approx. 50%)
    • Support the Atelier Manager with the set-up of daily work for machinists and cutters by preparing information and work packs.
    • Ensure machinists and cutters have the correct patterns, fabrics, threads and components available for daily work.
    • Track and log stock levels of fabrics, trims and studio equipment; coordinate re-orders with suppliers as required and flag risks early.
    • Maintain and update the digital fit list for weekly development fittings, ensuring samples are ready, correctly labelled and presented.
    • Book models for weekly development fittings and styling days; coordinate timings, call sheets and sample movements.
    • Gather design mock-ups plus print and embroidery confirmations and ensure clear handover to machinists for final sample execution.
    • Support stitch trials for Collection, ensuring components and notes are prepared, results are logged, and outcomes are shared with relevant teams.
    • Set up tech pack bases following allocation meetings for in-house styles; check for missing information and inconsistencies.
  • Bespoke (approx. 50%)
    • Coordinate the end-to-end bespoke process administration: appointments, fittings, garment tracking, timelines and delivery dates, escalating risks and delays to the Atelier Manager.
    • Manage the bespoke inbox: Reply to enquiries, confirm appointments, circulate notes and actions, and maintain clear records and documentation.
    • Work closely with the store team and atelier to schedule and coordinate all bespoke fittings and meetings, ensuring samples/garments are ready and correctly prepared.
    • Maintain communication between Store, Design, Fabric, Pattern Cutting and Atelier teams to support smooth workflow and timely decision-making.
    • Track project progress, fittings, approvals and deliveries; keep trackers up to date and provide regular status updates to the Atelier Manager.
    • Coordinate fabrics, trims and components for bespoke orders and special projects; ensure timely ordering/receipting and accurate allocation to the correct client projects.
    • Support workflow planning by preparing forward views of fittings and delivery commitments, highlighting priority conflicts.
    • Liaise with the Press team to coordinate VIP requests and special projects (scheduling, trackers, garment movement and status updates), escalating approvals and resourcing needs to the Atelier Manager.

Requirements

  • Proven experience within a luxury atelier, couture house or luxury fashion brand.
  • Experience with fittings, alterations, bespoke processes, and client relationships at a luxury level.
  • Excellent organisational skills with the ability to manage multiple projects simultaneously in a fast-paced environment.
  • Strong communication skills with the ability to work collaboratively across departments.
  • Highly detail-oriented with exceptional quality standards and problem-solving abilities.
  • Calm, professional, and service-driven approach when working with VIP and bespoke clients.
  • Understanding of luxury production timelines, craftsmanship techniques, and atelier operations.
  • Knowledge of pattern cutting, garment development, and embroidery techniques would be advantageous.
  • Passion for luxury fashion, craftsmanship, and exceptional client experience.
