Our client is looking for a skilled Office Relocation Project Manager to lead the planning and execution of an office relocation project in Cambridge. This role requires someone with experience managing office moves and optimizing workspace for efficiency and cost savings. The individual will be responsible for coordinating all aspects of the project, including vendor selection, internal communication, and ensuring the transition is smooth for all employees.
Key Responsibilities:
- Office Space Planning:
- Develop and implement a strategy for the office relocation, ensuring the new space accommodates 450 people while reflecting current office usage (approximately 50 people in the office daily).
- Evaluate and coordinate potential moves to a smaller, more cost-effective space.
- Facilities and Workplace Optimization:
- Collaborate with consultants to assess workspace needs and recommend the best options.
- Review and address inefficiencies in current facilities management, such as delayed maintenance requests and excessive costs (e.g., £120k/year canteen cost).
- Work with HR and operations teams to collect and analyse workplace data to inform decision-making.
- Cost Management:
- Achieve cost savings where possible, including lease renegotiations (e.g., prior lease savings achieved were approximately 33%).
- Evaluate and adjust operational costs like catering, with the potential of removing on-site canteen services entirely.
- Project Management:
- Lead and manage the end-to-end process of relocating the office, including timelines, budgets, and vendor selection.
- Ensure sensitive communication and change management with staff, especially considering the departure of a popular current workplace coordinator.
- Collaborate with HR on offboarding the current facilities staff and ensure adequate interim support is in place.
- Stakeholder Collaboration:
- Report directly to Natalie (Operations), Kelley, and HR leadership, ensuring alignment with the executive and leadership team.
- Work with consultants, external vendors, and other key stakeholders to deliver the project.
Candidate Requirements:
- Proven experience managing office relocation projects, including workspace optimisation and cost-saving initiatives.
- Strong facilities and project management background, with the ability to lead complex transitions.
- Exceptional stakeholder management and communication skills, especially in sensitive situations.
- Ability to manage vendor relationships and external consultants effectively.
- Strong analytical skills to assess workplace data and use it for informed decision-making.
- Comfortable working on-site in Cambridge and engaging with C suite
