Position Overview: The Partner Support Specialist / Compliance Assistant serves in a dual role responsible for providing exceptional support to ministry partners while helping ensure Equipt and its ministry partners remain organized, compliant, and equipped for effective ministry. As the Partner Support Specialist, this position builds strong relationships with ministry partners by coordinating communication, providing operational support, and delivering an exceptional partner experience. As the Compliance Assistant, this position supports organizational compliance through regulatory filings, employment records, corporate documentation, and related administrative responsibilities. Success in this role requires a heart for ministry and people, exceptional customer service, strong organizational and communication skills, attention to detail, sound judgment, discretion with confidential information, initiative, and the ability to manage multiple priorities while collaborating across departments.
Key Responsibilities:
- Ministry Partner Relationship Management: Serve as the primary point of contact for ministry partners, building strong relationships through responsive communication and exceptional customer service. Develop a thorough understanding of Equipt's services, systems, and ministry partnerships. Manage the general support inbox, troubleshoot partner needs, coordinate responses with internal departments, and connect partners with the appropriate team members. Keep leadership informed of partner health, opportunities, concerns, and emerging needs.
- Partner Operations: Provide day-to-day operational support to ministry partners. Coordinate meetings, training, hospitality, cohorts, conferences, and other partner engagement initiatives. Maintain accurate partner records and operational documentation. Facilitate communication between ministry partners and internal departments. Collaborate across Operations, Accounting, Compliance, and Launch to deliver seamless partner support. Assist with improving partner support processes. Perform other duties as assigned.
- Organizational Compliance: Maintain compliance files, legal entity records, and compliance platforms for Equipt and ministry partners. Monitor filing deadlines and prepare required registrations, annual reports, charitable solicitation filings, and renewals. Coordinate ministry entity registrations and regulatory filings. Assist with audits and maintain compliance documentation in accordance with Equipt's document retention policies. Maintain compliance records and reporting systems.
- Ministry & Vendor Compliance: Maintain insurance, contractor, and employment compliance records, including workers' compensation, insurance documentation, contractor agreements, W-9s, and annual 1099 documentation. Coordinate background checks, clergy documentation, and child protection compliance. Maintain ministry safety documentation and coordinate event liability documentation, releases, and certificates of insurance (COIs).
- Compliance Administration: Maintain compliance calendars, tracking systems, correspondence, and reports. Coordinate documentation requests with ministry partners and communicate with regulatory agencies as directed. Support special compliance projects and perform other duties as assigned.
Qualifications Required:
- Active member of a local gospel-centered church.
- High school diploma required; Associate's or Bachelor's degree preferred.
- Strong organizational skills with exceptional attention to detail.
- Excellent customer service, interpersonal, and communication skills.
- Ability to manage multiple priorities, meet deadlines, and adapt to changing needs.
- Sound judgment with the ability to maintain confidentiality and handle sensitive information with discretion.
- Self-motivated with strong organizational, administrative, and problem-solving skills.
- Comfortable working with regulations, documentation, and cloud-based technology.
- Proficient in Microsoft Office, Google Workspace, and technology-driven systems.
Preferred Qualifications:
- Experience in church, ministry, or nonprofit administration.
- Experience in customer service, partner relations, or administrative support.
- Experience with compliance, regulatory reporting, or corporate recordkeeping.
- Experience with employment documentation or human resources administration.
