The Project Coordinator exists to enable effective, controlled project delivery by providing structured coordination, governance support, and day to day administration across projects, allowing Project Managers and sponsors to focus on leadership, decision making, and outcomes. The role acts as the operational backbone of project delivery, ensuring that plans, actions, communications, and controls are consistently maintained, visible, and aligned to agreed standards.

Key Responsibilities

  • Project Planning and Organisation: Supports portfolio owners translate objectives into Delivery Plans recognising Dependencies, Risks, Milestones, and Resources requirements. Maintain Project Plans and associated project artifacts throughout duration of delivery. Escalate Risks or Issues as necessary to ensure successful delivery outcomes.
  • Documentation and Reporting: Ensure project Checkpoint and Highlight reports are shared with stakeholders with timely up to date content. Supporting documentation for governance forums is prepared to a high quality and shared in advance of session. Ensure Portfolio reporting including overall resource pool utilisation and risk profile is up to date and to a high quality.
  • Resource Management: Maintain team resource list by area and specialism including external partners. Maintain new demand backlog and capture resource requirements per item. Maintain resource utilisation views and highlight major over or underutilization.
  • Budget tracking: Maintains project budget tracking including order and invoice management compliance. Highlight any project budget tolerance issues.
  • Communication & Relationship: Maintain strong relationship with portfolio owners supporting continued roadmap development and definition. Provide structured delivery communications to project stakeholders in the form of Highlight, Checkpoint, Action list etc. Organise and host governance forums and capture / progress any Decisions or Actions.

Essential

  • Experience working as part of a Project Management Office supporting multi project delivery with a good level of Project and Portfolio literacy.
  • Strong capability in maintaining standard project artifacts such as Highlight and Checkpoint reporting, Delivery Plans, Action, Risk and Issue logs.
  • Strong communication skills, able to effectively interact with a variety of internal and external stakeholders.
  • Ability to prioritise and organise diverse set of tasks and activities.

Desirable

  • Recognised project management certification (PRINCE2, PMP, APM).
  • Degree in Technology / Business discipline or equivalent.
  • Experience of using one of the following tools for delivery management: Atlassian Jira, Microsoft DevOps, Microsoft Project.
  • Experience in the use of Artificial Intelligence agents.
  • Experience working with multinational, multidisciplinary teams.
