As a Welcome Desk & Workplace Experience Host, you are the face of the workplace and a key part of Corporate Real Estate (CRE). You bring energy to the office, turn everyday interactions into positive experiences and help create a strong sense of community. This is a dynamic, people-focused role where no two days look the same. You’ll move throughout the workplace — welcoming visitors, supporting events, coordinating operations and ensuring everything runs smoothly. You’ll act as the heart of the office, spotting opportunities to improve the experience, resolving issues early and helping create a workplace that feels seamless, engaging and safe.

What You’ll Be Doing

  • Creating Exceptional First Impressions
    • Deliver a warm, professional welcome to employees, visitors and customers
    • Manage the visitor journey, including registration, badging and host notification (Envoy system)
    • Ensure the reception area is well-presented, organized and welcoming at all times
  • Building Community & Workplace Culture
    • Bring energy and a positive atmosphere to the workplace
    • Organize and support office-wide events, activations and initiatives
    • Create communications and content to promote engagement (Outlook, Viva Engage, Office tools)
    • Help turn the office into a vibrant and collaborative community
  • Supporting Workplace Events
    • Coordinate on-site events from planning through execution
    • Manage logistics, vendors and budgets to deliver high-quality experiences
    • Create promotional materials and generate excitement around events
  • Workplace Operations & Coordination
    • Support meeting room scheduling, setup and coordination (including catering and AV)
    • Assist with mail handling, deliveries and shipping requirements
    • Manage lockers, badges and workplace resources
    • Maintain smooth day-to-day office operations
  • Vendor & Service Management
    • Coordinate with vendors and service providers to ensure consistent service delivery
    • Support procurement processes and monitor vendor performance
    • Ensure compliance with contracts and service standards
  • Driving Efficiency & Problem Solving
    • Manage and follow up on workplace tickets, ensuring timely resolution
    • Route issues to the appropriate teams and avoid “dead ends”
    • Provide guidance to employees on workplace policies, services and procedures
  • Creating a Safe & Secure Environment
    • Prioritize safety for employees, visitors and customers
    • Follow and support emergency response procedures
    • Escalate issues appropriately based on severity and impact
  • Acting as the Workplace Connector
    • Facilitate communication across teams and stakeholders
    • Build strong relationships with employees, customers and CRE partners
    • Treat colleagues as internal customers and support overall CRE success
