Equans is looking for a Soft FM Co-ordinator to join our team working on our Moderna FM contract on the Harwell campus in Oxford on a permanent basis. This is a full-time role working 40 hours per week from 08:00 to 17:00, Monday to Friday with a one hour unpaid lunch break. On offer is a competitive salary and benefits package.

Responsibilities

  • Comply with Company and statutory regulations relating to safe systems of work, health & safety, hygiene, cleanliness, fire and COSHH.
  • Liaise with supply chain in relation to all ‘service’ functions, driving performance and reporting results and deviations.
  • Oversee day to day running of Site Soft Services in respect of Catering, Cleaning, Waste Procurement & Housekeeping tasks.
  • Day to day supervision of the Catering and Janitorial teams.
  • Development of a soft services improvement plan for each service.
  • Process monthly report matrix and presentations.
  • Ensure all Quoted/follow on works are fully logged and prepared ahead of attendance at site, together with the upload of documentation to various customer systems and Equans Customer Portal.
  • Monitoring of supplier costs, ensures financial controls are maintained.
  • Ensure SLA requirements are met and reported.
  • Deliver consistent and improved quality of Soft Services.

Who are we looking for?

  • Holder of suitable Catering Qualification relevant to position (desirable)
  • Previous experience in a Soft FM setting essential
  • Good Knowledge of Microsoft applications including Excel and Powerpoint essential
  • Understand of GMP cleaning standards (Desirable)
  • Demonstratable exposure to performance indicators and service level agreements
  • Prior experience of CAFM systems advantageous but not essential (SAP, ELogs, Proactis, Service Channel, Coupa & Planon)
  • Health & safety awareness and holder of IOSH
  • Good administrative skills
  • An understanding of Purchase to Pay process desirable
  • Knowledge of HACCAP desirable
  • Ability to understand data, spot trends and prepare reports.
  • Ability to build strong relationships with customers and manage their expectations
