Overview
In this role you will provide professional admin support to the operations/FM team at the University of West London. You will manage invoicing processes, advise sub-contractors, and monitor payments to ensure timely cash flow. You’ll assist with correspondence, reports, and asset management, while maintaining confidentiality. You work closely with cross-functional teams and contribute to efficient facilities operations within a large energy-services organization.

Responsibilities
- Provide effective admin support to the operational/FM team
- Advise subcontractors on invoicing requirements and verify invoices/notes
- Prepare, process and submit invoices to the client and monitor payments
- Assist with correspondence, reports, tenders, and presentations while maintaining confidentiality
- Support asset management, invoicing and purchasing
- Support 40-hour work week and team collaboration across shifts as needed
Key requirements
- Previous administration experience
- Good IT skills (emails, management systems, databases, Maximo/CAFM)
- Financially and commercially astute with experience handling purchase orders
- Excellent administration and organisational skills
- High level of customer service and good telephone manner
- Strong time management and ability to work independently and in a team
