Job Overview
Equans is looking for a Finance Administrator to join our team at the Queen Elizabeth Hospital, Birmingham on a permanent basis. This is a full‑time role (37.5 hours per week) with a competitive salary and benefits package.
Responsibilities
- Produce, match and report sales invoices and other invoicing activities.
- Lead the ordering and receipting tasks for QEHB site, raising purchase orders, receiving services and matching invoices on Coupa.
- Coordinate with subcontractors and the Shared Service Centre (SSC) to minimise unpaid invoices.
- Manage work orders on Maximo and SAP.
- Manage aged WIP and keep it to a minimum.
- Administer purchase cards for QEHB personnel.
- Schedule meetings and appointments.
- Order stationery and equipment.
- Partner with HR to update and maintain office policies.
- Organise office operations and procedures.
- Coordinate with IT on all office equipment.
- Ensure that all items are invoiced and paid on time.
- Provide general visitor support.
- Address employees’ queries regarding office management issues (e.g., stationery, hardware, travel arrangements).
- Liaise with facility‑management vendors (cleaning, catering, security services).
- Demonstrate strong organisational and planning skills in a fast‑paced environment.
- Suggest improvements with a creative mindset.

Qualifications & Requirements
- Comprehensive administrative experience in a busy office environment
- Experience working in a project role
- Educated to GCSE standard
- Proficient use of Microsoft Office applications (Word, Excel, Outlook)
- Demonstrated good team working skills
- Awareness of confidentiality and data protection
- Reliable and dependable
- NHS/Hospital experience is an advantage
- Standard DBS check – ability to pass is essential
