EQUANS are recruiting for a Senior Bid Manager to be based in Seaham. This is a permanent full-time role working 37.5 hours per week. On offer is a competitive salary, car allowance, bonus and benefits package.

General Overview

The main purpose of this role is to oversee the management of the entire bid process and opportunity reporting for the North East and Northern Ireland offices. The role includes the management of the Bid Team (Bid Manager, Assistant Bid Manager and Bid Coordinator roles) to ensure the production of high-quality bids. Additionally, the Senior Bid Manager will oversee the maintenance and management of the Bid & Bid Library content to ensure it is up to date and relevant.

Key Accountabilities

  • Management, development and mentoring of the Bid Team.
  • Ownership and accountability for the effective update and maintenance of all reportage across the Pipeline, Salesforce and EVision platforms.
  • Full cradle to grave ownership and accountability for the management of key bids.
  • Management of Bid Launch, Bid Review, Post Tender Review and Handover meetings.
  • Attendance at all Site Visits for allocated tenders.
  • Production of Post Tender Presentations and reviews with presentation teams.
  • Ensure effective and positive relationships are maintained with the Bid Team, Estimating Team, and other Teams.
  • Liaison with the Business Development Manager to ascertain client win themes and approaches are included within bids.
  • Manage external Bid Writers as and when required.
  • Undertake weekly Bid Team Review meetings to monitor the progress of all active and submitted bids.
  • Oversee and review all bids undertaken by Bid Managers and Assistant Bid Managers.
  • Review of all feedback to ensure the continuous improvement of bids.
  • Oversee the maintenance and management of the Bid & BD Library and Bid information.

Bid Management

  • Liaise with and assist the Head of Bids in the Bid / No Bid decision process, providing information on the availability of Bid Team Resources and ability to fulfil the Client’s criteria.
  • Hold and manage a Bid Launch within one week of every confirmed Bid decision, ensuring all heads of teams attend. PQQ launches will only be held if required. Confirm the agreed strategy for the bid.
  • Produce a Bid Plan & Deliverables for every confirmed Tender. Use the Bid Plan at the Bid Launch to agree actions to support the bid, including agreeing and managing key dates in line with the bid programme.
  • Attend site visit to gain a full understanding of the project, its’ constraints and any key client requirements. Hold a post site visit meeting with all site attendees to ensure all aspects have been captured for inclusion in the bid submission.
  • Hold targeted meetings with heads of departments / key contributors to ensure all quality questions are addressed in a comprehensive manner.
  • Liaison with the Estimating Team to ensure all pricing information, CPs and Value Engineering are completed.
  • Production of quality responses, ensuring all research and information from operational, technical, planning and sustainability teams are incorporated into the Bid.
  • Production of high-quality bid submissions including imagery, presentation and key supporting documents to create a first class first impression to Clients.
  • Manage external Bid Writers to undertake the production of quality responses when Bid resources are not available. Ensure relevant information is provided and an invite to the Bid Launch is sent. Review all quality responses to ensure they fit the aim and purpose of the region.
  • Hold and manage a Mid-Tender Review through the tender period to ensure timescales for quality responses are being met.
  • Report the progress of bids to the Head of Bids, ensuring reviews take place as and when required.
  • Raise and review of all tender clarifications to ensure any changes are incorporated and taken account of within our Bid. Liaise with other Teams to ensure all actions are closed out. Hold Tender Clarification review meetings as and when required.
  • Undertake pre-submission checks on all bids to ensure all client requirements are met. Liaise with Bid Managers and Assistant Bid Managers to ensure this is also undertaken on their bids.
  • Confirm to the Directors and wider teams that Tender / PQQ submissions have been completed. Monitor the award dates and follow up with Clients when overdue.
  • Review all Post Tender Clarifications to ensure they are actioned and responded to in the required timescales. Undertake Post Tender Reviews as and when necessary.
  • Prepare all Post Tender Presentations, liaising with the relevant attendees to ensure all content is covered. Undertake presentation reviews to ensure timings are accurate and presenters have the necessary scripts.
  • Undertake reviews of all feedback received on bids and ensure areas of improvement are shared with the Bid Team and wider teams. Share feedback with HOB.
  • Hold and manage all tender handover meetings. Provide an agenda and summary of the tender, for discussion at the Tender Handover. Issue handover notes to all attendees and ensure tender documentation is uploaded to Viewpoint.

Team Management

  • Line Management of the Bid Writer and Assistant Bid Writer and ongoing mentoring support.
  • Hold regular reviews with the NE Bid Team to monitor the progress of all active and submitted tenders/SQs/SMTs/EOIs.
  • Oversee and review all quality question responses for bids undertaken by the NE Bid Writers.
  • Support the Bid Coordinator with any queries relating to NE opportunities or clients that come to the shared inbox.
  • Provide training and mentoring for all members of the NE Bid Team to ensure consistency and improvement in all aspects of the bid process.
  • Ongoing liaison with Head of Bids in relation to NE team workload and capacity.

Database/Library Management

  • Oversee the maintenance and management of the Bid & Bid Library content to ensure it is up to date and relevant. Hold bi-monthly Bid & BD Library updates to ensure knowledge across the Bid Team is consistent.
  • Oversee the creation of bespoke submission templates in Microsoft Word and Adobe InDesign as and when required
  • Oversee the creation and completion of Case Studies and CVs to ensure consistency and quality.
  • Oversee the creation and completion of a Project Datasheet Information for all NE projects, ensuring sites are visited and delivery teams are engaged to source quality information to be used in bids.
  • Oversee the Photo Library to ensure all completed projects are photographed and saved within the Photo Library.

Reporting

  • Attend weekly bid / no bid calls with the SLT and feedback to the Bid Coordinator.
  • Liaise with the Bid Coordinator to ensure information is up-to-date in relation to all Live and Submitted opportunities on Salesforce.
  • Attend regular Business Development / Pipeline update meetings.
  • Attend Monthly P&C North Bid Team meetings.
  • Liaise regularly with the NE Regional Director to provide updates on bid progress and to understand Business and Work Winning priorities.
  • Attend and support NE Senior Leadership Team meetings as required.

Miscellaneous

  • Engage regularly with the other Senior Bid Managers in P&C North, including through a monthly meeting, to share Best Practice, share feedback/areas for improvement, discuss and agree improvement activities relating to processes or bids themselves and support each other with any challenges.
  • Provide support as required to other Bid Team members in the P&C North Team, including for North-West, Services or National opportunities as required.
  • Support and provide bid information to other regions as an when required.
  • Support and attend Knowledge Forums as required.
  • Provide ad-hoc training and support to wider teams as an when required.
