Equans is looking for a Workplace Change Service Manager to join our team in London on a permanent basis. This is a full-time role working 40 hours per week. On offer is a competitive salary and benefits package.

The purpose of the role is to be responsible for the management, pricing, processing and executing all workplace change requests requested by the client and effectively manage and develop the service across the contract, using standards set by the Company. The post holder will manage the contract change logs, manage and chair the Stage 0 / ACN process ensuring Project Execution Plans are submitted with clear project strategies and to manage all associated subcontractors, when works are to be self/operationally delivered, in accordance with company procedures and ensure that activities comply with client protocols. The ideal candidate will have a good understanding of the PFI contract (PA/CS) - in particular Sch 21. Government security clearance is required for this role.

What will you deliver?

  • To submit PEPs quotations, estimates and tenders for additional work as requested (Authority and Service Provider Change Notices process) and to be responsible for the preparation, accuracy and processing of all accounts following completion of projects/events, in accordance with company guidelines and procedures.
  • To deliver at all times, high-quality Small Works projects within the contract by applying professional expertise and management control, thus ensuring added value, increased productivity, and cost-effective service.
  • Operate effective and professional services, following procedures to ensure an efficient and responsive service across the contract.
  • To obtain quotes from sub-contractors and suppliers.
  • Getting Authority approval on Change Notice Forms (ACNs).
  • Providing weekly reports on the current status of Minor/Small works.
  • Running of Small works.
  • Maintaining Project management system.
  • Allocate works in accordance with 'Work allocation Decision tree' and manage exceptions through a project 'Stage Zero' launch with SLT for agreement to contract strategies, risk reviews and allocations.
  • Develop understanding of contractual issues, effective pricing and liabilities/risks on work, understand risk and how to commercially manage it.
  • Provide updates to enable the ACN tracker to be accurate and used as a live tracking tool and to chair weekly and monthly ACN meetings with the SPV and client teams.
  • To produce schedules of work, pricing templates to allow analysis.
  • To prepare Project Execution Plans to initially manage clients time and cost expectations and provide budgetary estimations for work requests together with programmes for work.
  • To prepare reports, tenders, presentations, and other documents as required, maintaining confidentiality at all times.
  • To have a working knowledge of CDM and understanding of RIBA plan of work.
  • To work with the Compliance Advisor and Property Management team to ensure assets are updated and records kept.
  • To ensure O&M manuals where required are received following completion of work.
  • To ensure that all relevant compliance documentation is obtained during and at the end of each project where applicable.
  • May require occasional weekend working as agreed with line manager.
  • To fulfil Health & Safety responsibilities by adherence to the requirements of the Company's Health & Safety Policy and Health & Safety Management Plans.

Who are we looking for?

  • Experience of working in contract or local government environment.
  • Previous experience of working on a PFI contract.
  • To be experienced in sub-contractor control and resource management.
  • Attention to detail and strong contract administration skills - records and change control with clients and subcontractors.
  • Experience in estimating the cost of works with the ability to deliver work against targets both budgetary and within set timescales.
  • Good commercial and contractual awareness.
  • High level of IT literacy in using Microsoft and CAFM packages (intermediate/advanced Excel and Word).
  • Excellent communication and organisational skills and excellent customer service skills.
