EQUANS is looking for a Personal Assistant to join our team based in either Stoke-on-Trent or Central London on a permanent full time basis working 40 hours per week from 09:00 to 17:30, Monday to Friday with a 30 minute unpaid break. On offer is hybrid working - Stoke-on-Trent or London office based, a competitive salary and benefits package.
What will you deliver?
- Maintain efficient office administration processes to ensure a smooth and efficient service is delivered to the Managing Director and team members
- Organise and produce complex (confidential) papers and reports for the Director and team
- Undertake multi diary management and plan schedules in diaries to optimise the working day of allocated team members
- Screen incoming mail, telephone calls, emails and messages and manage responses directly on behalf of the executive team, as necessary
- Prepare documents and presentations as required
- Arrange and attend meetings/conferences as required, record actions, and ensure appropriate facilities are organised
- Prepare agendas and reports for meetings and support the Director by chasing activity, reports and outcomes from meetings
- Co‑ordinate, and where needed, book travel and accommodation for the team

Who are we looking for?
- Driven individual who can work proactively to resolve issues and support a wide range of needs
- Prior experience in a similar role essential
- Highly organised and able to manage multiple activities at any one time
- Rounded educational background with direct experience in financial and operational administration
- Experience in both finance and workflow administration desirable
- Excellent IT skills with Microsoft applications, SAP & other in-house IT Management systems
- Excellent communication and customer service skills
- Demonstrate good time management skills, working to deadlines and adhering to set procedures
- Needs to be highly motivated, organised, versatile and adaptive
- Must have a full, valid UK driving licence
