Equans is looking for a Soft FM Co-ordinator to join the team on the Moderna FM contract at the Harwell campus in Oxford on a permanent basis. This is a full-time role, 40 hours per week, 08:00 to 17:00, Monday to Friday with a one hour unpaid lunch break. A competitive salary and benefits package are on offer.
As Soft FM Co-ordinator, you will be part of the Admin Team and work closely with the Senior Contract Administrator to support Contract Managers and the Supervisor. You will help ensure all Soft FM activities are coordinated and delivered in alignment with client expectations, and that works (service delivery, reactive and quoted) are processed in a timely manner in accordance with contractual requirements. A key responsibility is to ensure all Soft FM deliverables are met in relation to Catering, Cleaning, Waste, Housekeeping and other services.
Responsibilities
- Comply with Company and statutory regulations relating to safe systems of work, health and safety, hygiene, fire and COSHH.
- Liaise with supply chain regarding all service functions, driving performance and reporting results and deviations.
- Oversee day-to-day running of Site Soft Services (Catering, Cleaning, Waste, Procurement & Housekeeping).
- Day-to-day supervision of the Catering and Janitorial teams.
- Develop a soft services improvement plan for each service.
- Process monthly report matrix and presentations.
- Ensure all quoted/follow-on works are fully logged and prepared ahead of attendance at site, with documentation uploaded to various customer systems and the Equans Customer Portal.
- Monitor supplier costs and maintain financial controls.
- Ensure SLA requirements are met and reported.
- Deliver consistent and improved quality of Soft Services.

Who are we looking for
- Holder of a Catering qualification relevant to the position (desirable)
- Previous experience in a Soft FM setting (essential)
- Good knowledge of Microsoft applications including Excel and PowerPoint (essential)
- Understanding of GMP cleaning standards (desirable)
- Experience with performance indicators and service level agreements
- Prior experience with CAFM systems advantageous but not essential (e.g., SAP, ELogs, Proactis, Service Channel, Coupa & Planon)
- Health & safety awareness and IOSH certification
- Good administrative skills
- Understanding of Purchase to Pay processes (desirable)
- Knowledge of HACCP (desirable)
- Ability to understand data, spot trends and prepare reports
- Ability to build strong relationships with customers and manage expectations
