Equans is looking for a Compliance & Planning Coordinator to join our team based at Pinderfields Hospital (with some travel to Pontefract Hospital too) on a permanent basis. This is a full time role working 37.5 hours per week. On offer is a competitive salary and benefits package.

Primary function of the role is to support in the scheduling of maintenance tasks delivered by both internal and subcontractor resources across a busy Healthcare facility. This programme of maintenance is primarily delivered and recorded through the sites ‘Computer Aided Facilities Management’ system (Currently Maximo 7.6). the position involves a variety of administration and coordination responsibilities including contractor management, compliance checking to meet the requirements of contractual parameters as well as the collation and submission of maintenance records for audit and assurance purposes.

You will undertake regular checks with the ‘Jeopardy Management’ team to ensure those tasks nearing target rectification have a plan and are being managed accordingly to prevent them missing target completion times as far as practicable. Where required, ensure that local queries are resolved quickly and efficiently or, escalated to the appropriate service supervisors/managers as appropriate.

The role is essential to ensure that all Planned and Corrective maintenance is undertaken in a timely and effective manner in line with performance KPI’s and records are processed in a timely manner, escalating any identified issues for prompt action.

What will you deliver?

  • Build and maintain an effective and supportive working relationship with internal and external stakeholders.
  • Understand and apply all contractual requirements as appropriate to maintenance tasks.
  • Own, maintain and update the site CAFM system in relation to all planned and reactive tasks under their control.
  • Ensure all maintenance activities are carried out against the planned schedule.
  • Ensure that all internal maintenance tasks are scheduled using appropriate onsite labour.
  • Regular reporting on service delivery, equipment and personnel performance, subcontractors.
  • Maintain accurate records, data, and reports in line with policy and compliance requirements, ensuring all confidential material is adequately secured.
  • Assist the Planning & Coordination Team Leader in maintaining and managing labour sickness in accordance with company policy.
  • Services being delivered are in full compliance of Health, Safety and Environmental Regulations.
  • Promote a culture of customer service and the meeting of EQUANS values.
  • Provide training and coaching support to others where required within their current role.
  • Carry out other duties within agreed competencies.

Who are you?

  • Operational experience of Computer Aided Facilities Management systems (Maximo) is essential for this role (can be trained).
  • Good working knowledge of the ‘Microsoft’ suite of IT, Word, Excel etc.
  • Good attention to detail and an ability to prioritise work effectively.
  • Experience in managing subcontractor setting to work processes when signing onto and off site.
  • Experience of scheduling technical works and coordinating multiple operatives.
  • Experience of working in a customer focused environment.
  • Good communication and interpersonal skills.
  • Good written and verbal communication skills.
  • Experience of working in a healthcare environment is beneficial but not essential.

This role includes a Basic DBS check therefore ability to pass is essential.
