This is a Bournemouth based role and you will be required to work from the office two to three days per week.

Equals Five is looking for an experienced, dynamic, and energetic Executive Assistant to join our team. You will play a critical role in supporting our Managing Director in running the day-to-day operations of our marketing business. You will be responsible for managing different aspects of the business to ensure the smooth running of our company with a key focus on optimal resource allocation, financial oversight, continuous improvement in all areas, project management and coordination, and general admin.

  • General Administration and Management: Oversee general administrative functions to ensure efficient office operations. Manage office supplies, equipment, and facility maintenance. Develop and implement office policies and procedures to enhance administrative efficiency.
  • Financial Management: Oversee budgeting, forecasting, and financial planning processes. Monitor financial performance and implement strategies to achieve financial goals. Prepare financial reports and present them to senior management for review and decision-making.
  • Recruitment and Talent Management: Develop and implement recruitment strategies to attract and retain top talent. Work with HR to develop and maintain a talent pipeline to support the agency’s growth and operational needs. Foster a culture of continuous learning and professional development.
  • Contract Management: Ensure all contracts are compliant with legal requirements and agency policies. Monitor contract performance and enforce terms and conditions to protect the agency’s interests.
  • Project Management: Oversee the planning, execution, and completion of projects to ensure they are delivered on time and within budget. Implement project management best practices and tools to streamline processes and improve productivity. Monitor project progress, identify potential issues, and proactively implement solutions.

Proven experience as an Executive Assistant or in a similar role, preferably within a marketing agency. Proficient in project management tools and software. Experience in financial management and budgeting. Experience in recruitment and talent management. Experience in contract management and general administration.

Competitive salary and benefits package - c£30,000 - £35,000 pa, based upon experience. Holiday entitlement 20 days per year, plus two duvet days and all bank holidays - 30 days total.
