We are actively seeking a Legal Operations Specialist on a fixed term contract basis. This remote full-time opportunity is with our major technology client.

Qualifications and Skills:

  • Degree, ideally with studies in Data Management, Business, Paralegal Studies, Finance, or a related field.
  • Demonstrated experience working as an E‑Billing or Reporting Analyst.
  • Strong technical skill set, including advanced proficiency in MS Office (particularly Excel), experience with Thomson Reuters Legal Tracker or similar e‑billing platforms, and familiarity with reporting tools such as Tableau, Asana, or SharePoint.
  • Solid document management capabilities, including hands‑on experience with tools like G‑Suite, Dropbox, Quip, or comparable document management systems.
  • Ability to confidently manage, interpret, and work with various data types, including financial information.
  • Skilled in using data visualization or compilation tools to build reports across multiple data sources, applying both analytical thinking and creativity.
  • High attention to detail, exceptional written and verbal communication skills, and the ability to navigate sensitive situations with professionalism.
  • Proven ability to develop strong working relationships within Legal teams and cross‑functional groups across multiple regions.
  • Self‑motivated and capable of prioritizing tasks effectively while clearly communicating workload and expectations.
  • Comfortable working in a fast‑paced, globally oriented environment with numerous competing demands.
  • Strong follow‑through and determination to close out tasks and inquiries promptly.
  • Prior experience supporting large, global Legal teams within a fast‑moving, complex, and non‑hierarchical organization. (preferred)
  • Background working with or supporting outside counsel. (preferred)
  • Familiarity with Legal Tracker, Litify, or other enterprise e‑billing systems. (preferred)

Responsibilities:

  • Serve as the primary subject matter expert for the EMEA region on the e‑billing platform (Legal Tracker) as well as the team’s other tools, including automation solutions, workflow systems, contract management platforms, and project management applications.
  • Use strong task, time‑management, and organizational abilities to deliver high‑quality support to internal stakeholders.
  • Prepare and deliver routine and on‑demand reports or data sets for EMEA partners, responding both proactively and reactively as needed.
  • Manage day‑to‑day inquiries across the EMEA region to uphold excellent service standards and keep key operational processes moving (e.g., matter setup, invoice questions, secondment compliance, etc.).
  • Coordinate with core US‑based teams (such as Contracts and Accounts Payable) to ensure timely follow‑up on requests from EMEA stakeholders.
  • Maintain a Continuous Improvement mindset by regularly identifying and suggesting opportunities to streamline processes and increase efficiency.
  • Act as the regional custodian for templates and shared resources, including best‑practice documents and updates to the Legal Ops Hub.
  • Provide support for new processes and ongoing improvement initiatives as needed.
