We’re looking for a proactive and ambitious Events Marketing Assistant to join our team in London Bridge, playing a key role in delivering our international conference portfolio, with a strong focus on Marketing and Operational delivery. The events business has grown year after year, now welcoming thousands of attendees across eight flagship events spanning Europe, North America, the Middle East, and Asia. Working directly with the Marketing and Event Managers, you will help bring large scale international conferences in the downstream oil and gas sector to life. From pre-event planning to on-site execution, you will be at the heart of the action, supporting critical Marketing and operational functions as part of a collaborative, high performing team. With direct mentorship and hands-on experience, you will gain real exposure to what it takes to deliver world class global events.
Job Summary
The Event Marketing Assistant supports the planning, promotion, and execution of marketing events, ensuring campaigns and event activities are delivered efficiently and effectively.
Key Responsibilities
- Marketing & Promotional Support
- Assist in the creation and distribution of marketing materials, including email campaigns, newsletters, flyers, brochures, digital advertisements, social media content, and press releases.
- Support event promotion activities to drive attendance and engagement.
- Ensure all marketing materials align with brand guidelines and campaign objectives.
- Data Analysis & Reporting
- Maintain attendee databases and registration records.
- Assist in producing event reports and performance metrics.
- Conduct market research and competitor analysis to support event strategy.
- Evaluate event outcomes and assist with future improvements.
- Database & Systems Management
- Maintain and update event databases and CRM systems with accurate delegate, speaker, and sponsor information.
- Manage the registration of delegates, speakers, and sponsors.
- Event Planning & Coordination
- Coordinate event logistics, including venue research, supplier and vendor management, travel arrangements, accommodation bookings, and registration processes.
- Coordinate communications with speakers and sponsors.
- Manage speaker and sponsor information, including bios, presentation materials, and promotional content.
- Ensure sponsor deliverables and event visibility requirements are met according to contracts.
- On-Site Event Support
- Assist with event registration, guest management, and attendee engagement activities.
- Provide on-site support to ensure smooth event operations and a positive attendee experience.
Skills & Experience
- Preferably 1–2 years’ experience in B2B conferences.
- Strong organisational and project management skills.
- Experience managing databases or CRM systems.
- Excellent research and information-gathering abilities.
- Strong written and verbal communication skills.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Competence in Microsoft Office (Word, Excel, SharePoint, PPT) and keen to embrace and learn to use new technology and IT systems including Canva, automated marketing and CRM systems.
- Interest in corporate events.
Qualifications & Experience
- Bachelor's degree in Marketing, Event Management, or a related field, or equivalent professional experience.
- Previous experience in event coordination, marketing, customer service, hospitality, or administrative support is advantageous.
- Experience supporting events, campaigns, or promotional activities is desirable.
