EP Ecology are seeking an office administrator (maternity cover) to join our team in East Kilbride, South Lanarkshire, and assist with the day-to-day running of the company. The successful candidate should be interested in wildlife and nature and can, if desired, assist with ecological work above their typical working duties.
Position details
- Hours: 15 per week (approx. 2 days) with overtime up to 37.5 hours per week and TOIL accrued above that point as required. Flexible working pattern available and home working also available (though expectation that at least 50% of admin time spent in office). This is a fixed term contract for approximately fourteen months (maternity cover).
- Salary: Β£13.00-15.00 per hour depending on experience
- Start date: May/June 2026
- End date: July/August 2027
Duties
- Supporting Director with day-to-day work as required;
- Scheduling of incoming projects and liaising with Director and other staff;
- Providing information to staff on forthcoming projects, including GIS;
- Corresponding and liaising with potential and pre-existing clients, including providing clear information about different types of ecological surveys;
- Preparing quotes for a variety of different ecological surveys and projects;
- Preparing draft invoices;
- Updating and maintaining company records, insurance, risk assessments, equipment and maintenance schedules, and assisting in organising maintenance or repairs where needed;
- Reviewing ecological reports by other staff;
- Help maintain ISO Compliance and preparing for relevant company audits;
- Managing & creating social media posts and website content;
- Maintaining project management system;
- Summarising and analysing data on company performance;
- Opportunities to assist with ecology surveys.
Essential Skills and Experience
- Proficiency with Microsoft software;
- Experience managing data;
- Ability to multi-task and prioritize tasks in a fast-paced environment;
- Awareness and understanding of ecological surveys as well as relevant legislation;
- Organisational skills;
- Familiarity with finance management systems;
- Experience dealing with clients / members of the public.
Desirable
- Experience using Xero finance and HR management system;
- Knowledge of ecological consultancy;
- Experience using GIS and QField;
- Experience in small business marketing.
