We are looking for a highly organized and detail-oriented Order Management Associate to join our dynamic team. In this role, you will take a proactive approach to managing orders and ensuring a seamless process from start to finish. You will be responsible for handling high-priority tasks with flexibility and efficiency while maintaining a strong attention to detail. WHAT YOU’LL DO:

  • Acknowledge and process client purchase orders.
  • Generate vendor purchase orders accurately and efficiently based on client orders.
  • Ensure that vendor POs include all necessary details, such as product specifications, quantities, and delivery timelines.
  • Monitor and track inbound shipments from vendors to ensure timely and accurate delivery.
  • Collaborate with project teams to address any potential delays or issues in the shipment process.
  • Generate picking tickets for warehouse staff based on project timelines.
  • Create logistics tickets for outbound shipments to clients.
  • Pay meticulous attention to details in all stages of order processing to minimize errors.
  • Conduct thorough quality checks to guarantee that the correct products are shipped to clients.
  • Prioritize tasks based on urgency and importance to meet tight deadlines.
  • Efficiently manage a high volume of orders while ensuring accuracy and quality.
  • Manage multiple client orders simultaneously and adapt quickly to changes in order specifications, shipment schedules, or client requests.
  • Troubleshoot and resolve issues promptly to maintain smooth order flow.
  • Respond promptly to client inquiries and provide updates on order status.
  • Stay informed about product pricing, discounts, and promotions from vendors.
  • Identify opportunities to negotiate better terms with vendors and save costs.
  • Negotiate favourable terms, discounts, or bulk purchase arrangements to optimize profitability.

WHAT YOU NEED TO SUCCEED:

  • Experience in an order management or similar role.
  • Experience using procurement software.
  • Strong numeracy skills and analytical ability.
  • Basic to Intermediate Microsoft Excel Knowledge.
  • Excellent time management skills, with ability to manage workload and prioritize tasks.
  • Exceptional attention to detail and level of meticulousness.
  • Strong communication skills.
  • A proactive problem solver, who can think on their feet.
  • Willingness to work as part of a team in a fast moving, growing global company.

PREFERRED SKILLS:

  • Experience with Sage X3 and Jira a plus.
