We are seeking a dynamic and organised Administrative Assistant to support operations at a Dundee-based site within a collaborative research environment. This role is ideal for an energetic, detail-oriented individual who enjoys working in a fast-paced setting and liaising with cross-functional teams.
Reporting to the Site Head, you will provide essential administrative and operational support, helping to keep day-to-day activities running smoothly.
Key Responsibilities
- Provide general administrative support across the business
- Arrange board meetings and key internal meetings, coordinating with multiple stakeholders
- Organise travel for senior team members
- Support invoicing processes in collaboration with the finance function
- Manage incoming and outgoing shipments with third-party couriers
- Collect external orders from on-site stores and manage delivery notifications
- Maintain and organise office and laboratory stock and inventory
- Coordinate room bookings and ad hoc on-site requirements
- Support equipment servicing, maintenance, and asset tracking
- Coordinate waste and recycling management with external suppliers
About You
- 2+ years' experience in an administrative or support role, ideally in a small to medium-sized organisation
- HNC, SVQ Level 7, or equivalent qualification
- Self-motivated and comfortable working autonomously
- Highly organised with strong prioritisation skills
- Confident communicator, able to engage with stakeholders at all levels
- Excellent written and spoken English
- Strong attention to detail and a proactive, can-do attitude
- Competent with Google Workspace and Microsoft Office (Word, Excel)
