Part-time (25 hours)

We are seeking a dynamic and organised Administrative Assistant to support operations at a Dundee-based site within a collaborative research environment. This role is ideal for an energetic, detail-oriented individual who enjoys working in a fast-paced setting and liaising with cross-functional teams. Reporting to the Site Head, you will provide essential administrative and operational support, helping to keep day-to-day activities running smoothly.

Key Responsibilities

  • Provide general administrative support across the business
  • Arrange board meetings and key internal meetings, coordinating with multiple stakeholders
  • Organise travel for senior team members
  • Support invoicing processes in collaboration with the finance function
  • Manage incoming and outgoing shipments with third-party couriers
  • Collect external orders from on-site stores and manage delivery notifications
  • Maintain and organise office and laboratory stock and inventory
  • Coordinate room bookings and ad hoc on-site requirements
  • Support equipment servicing, maintenance, and asset tracking
  • Coordinate waste and recycling management with external suppliers

About You

  • 2+ years' experience in an administrative or support role, ideally in a small to medium-sized organisation
  • HNC, SVQ Level 7, or equivalent qualification
  • Self-motivated and comfortable working autonomously
  • Highly organised with strong prioritisation skills
  • Confident communicator, able to engage with stakeholders at all levels
  • Excellent written and spoken English
  • Strong attention to detail and a proactive, can-do attitude
  • Competent with Google Workspace and Microsoft Office (Word, Excel)
