Visitor Experience and Office Support Role
We aim to deliver a boutique/first class lounge level experience to all colleagues and visitors, ensuring they feel welcomed and in the best state of mind to deliver high-quality work.
Key Responsibilities
- New Starter Process: Ensure each new Entainer is warmly welcomed, feels expected, and has their first day preparations completed, including access passes and desk bookings.
- Switchboard Support: Handle calls from suppliers, customers, and colleagues, supporting or redirecting as appropriate.
- Security: Observe good security practices, manage guest and visitor access, and understand emergency procedures.
- Desk Booking: Support the Condeco system for desk reservations and modifications.
- Meeting Rooms: Be an expert in all meeting and collaboration spaces, assist with room preparation, and advise on suitable spaces for meetings.
Back of House Duties
- Postroom Operations: Manage digital mail, franking, and courier services.
- Stock Checks: Replenish supplies in kitchens, printers, meeting rooms, and stationery cupboards, focusing on essentials like coffee.
- Office Checks: Conduct regular walkthroughs to ensure safety, cleanliness, and proper functioning of equipment.
- Contractor Oversight: Oversee on-site contractors, ensuring compliance with risk assessments and work scope.
Administrative Duties
- Finance: Collaborate with finance teams on purchase orders and invoices.
- Facilities Management: Use CAFM systems like Concerto, ServiceNow, and Infraspeak to log tasks and report workload.
- Communications: Post updates and event info on internal channels such as Viva Engage.
Team and Additional Duties
- Travel between London offices and other UK hubs is required.
- Support event delivery and assist EAs/PAs with on-site tasks.
- Provide remote support to other global offices as needed.
- Be trained as a First Aider and Fire Warden, familiar with emergency procedures.
- Maintain excellent communication skills, proficiency in MS Office 365, and familiarity with company systems. Experience with systems like Janus, Concerto, Condeco, ServiceNow, and Oracle is advantageous.
- Adopt a smart casual style suitable for a customer-facing role.
