Responsibilities
- Manage the delivery of core IT administrative processes to ensure they are carried out effectively and that Group IT has a reliable central support team.
- Accountable for owning end‑to‑end administrative processes and driving process improvements; producing management reporting and insights for decision‑making; leading issue resolution with Finance/Vendors; and contributing to the budget cycle and governance rhythms.
IT Financial Operations
- Oversight and management of the end‑to‑end IT PO, invoicing and financial administration processes, ensuring accuracy, timeliness and compliance with internal controls.
- Act as the primary escalation point for IT financial and vendor issues, leading investigation, resolution and taking corrective action.
- Partner with IT Finance to understand financial reporting requirements, troubleshoot issues/changes to coding and ensure IT Administrative processes are aligned.
- Constantly review IT/finance processes and implement improvements.
- Play an advisory role in the annual budget setting exercise to ensure BAU budget format aligns with administrative processes.
- Lead planning and execution of IT year‑end activities to ensure a controlled and well‑managed transition into the following year.
Process Governance and Continuous Improvement
- Support the development and operation of a central IT Business Management shared service providing consistent, high quality support across the IT Performance Management, Supplier Management, Data Office and Compliance teams.
- Identify and implement process enhancements (with an AI mindset).
- Support the implementation and governance of IT Supplier Services with a focus on compliance, governance and performance.
- Undertake specific project work as requested by the Regional CIO Europe and Australia and IT Business Manager.
- Apply AI and digital tools to everyday work, proactively identifying and evaluating use cases where AI‑enabled solutions can drive efficiency, improve insight, and streamline business management and administrative processes.
Reporting and Insights
- Produce recurring IT performance reports as agreed with the IT Business Manager, including IT Purchase Order Management metrics, CODA housekeeping, timesheet reporting, training budget tracking and monthly/quarterly IT dashboards, aligned with reporting standards and cadence.
- Prepare and maintain dashboards that provide clear, actionable insights for IT leadership.
Executive and Business Management Support
- Collate weekly Group IT Executive meeting agenda and meeting packs.
- Provide business management and diary support to the IT Leadership team and CDO as required.
People / Process Enablement
- Design and deliver IT Business Management training including induction sessions, refresher training and system/process training (e.g. CODA approvers) ensuring materials remain current and accessible.
- Oversee IT Contractor onboarding and extensions ensuring processes are efficient, compliant and consistently applied.
- Act as a deputy to the IT Business Manager on agreed business management activities, providing continuity and leadership support as required.
- Carry out duties within our internal policies and procedures in accordance with applicable law, rules, regulation, good governance and Enstar’s shared values, including putting clients at the heart of our business.
In addition to the above key responsibilities, you may be required to undertake other duties from time to time as the Company may reasonably require.
Qualifications
- Minimum of 4 years’ experience in an IT Administration / IT Operations / Business Management role.
- Management of end‑to‑end administrative and financial processes.
- Process ownership and continuous improvement.
- Production of management information and performance reporting.
- Proficient in IT systems: CODA, SupplierBase, KeyedIn, SharePoint.
- IT Business Management and operational processes including IT financial management, IT purchasing, invoicing, supplier management and governance controls.
- Advanced in the use of Microsoft Office applications (particularly Outlook, Word, Excel, PowerPoint and Visio).
- Ability to analyse data and present information clearly.
- Strong organisational and prioritisation skills with the ability to manage multiple tasks and meet deadlines.
- Confident, professional and credible communicator, able to engage effectively with stakeholders at all levels, including senior IT leaders and executives.
- Attention to detail and accuracy.
- Proven ability to work collaboratively with cross‑functional teams.
- Comfortable working with ambiguity and change, showing resilience and flexibility as processes evolve and mature.
- Experience of working within an IT function supporting senior leadership and governance forums.
- AI and digital literacy - experience of applying digital tools or AI‑enabled solutions in the workplace to improve efficiency and productivity.
- Interest in and knowledge of AI‑enabled tools and their practical application to improve efficiency and productivity.
- Experience using data visualisation reporting or automation tools (e.g. PowerBI, Copilot, Power Automate, AI workflows).
- Continuous improvement mindset with a proactive approach to identifying opportunities to streamline processes.
