We are seeking a part-time (22.5 hours per week) Administration Assistant to join the team at our Saxmundham office. This is a fully office based role, and the core hours of work each week will be:
- Wednesday: 0845 – 1715 (7.5 hours)
- Thursday: 0845 – 1715 (7.5 hours)
- Friday: 0845 – 1715 (7.5 hours)
Whilst these are the core hours, the successful candidate will be required to provide cover for additional hours on Mondays and Tuesdays during periods of annual leave; therefore the flexibility to cover these extra days when required is essential.

About The Role
This varied role involves working closely alongside the Office Administrator, and is key to maintaining the smooth running of the office. We are looking for someone who is committed to ensuring the core support functions of our office run efficiently and who is at ease in liaising with a wide variety of clients, visitors and staff – both face to face and via telephone. The successful candidate will enjoy working within a team environment and have a flexible approach to their work.
Responsibilities Will Include (but Are Not Limited To)
- General office administration: reception duties including dealing with post and deliveries, call handling, scanning and serving refreshments for client meetings. Monitoring general office supplies and re-ordering items as necessary.
- Client administration: system updates e.g. client and contacts amendments, preparing client create forms including electronic verification, preparing Engagement letters, co-ordinate client mailings with client list holders.
- Ad hoc tasks: Binding and photocopying of hard copy documents, providing support in organising group events.
Essential Skills And Experience
- Have good academic results with a minimum grade C or grade 4 GCSE in Mathematics and English (or equivalent).
- General administrative experience in an office environment including ‘front of house’ reception experience. (Experience gained in a professional services environment would be advantageous).
- Be a competent user of MS Office (Word, Excel and Outlook) with good touch-typing skills. Knowledge of document management systems would be advantageous.
- Possess good oral and written communication skills.
- Strong time management and organisation skills.
- Be a ‘team player’ with a ‘can do’ attitude, alongside the ability to work accurately and reliably without close supervision.
- Be capable of maintaining a calm, professional approach in a ‘front of house’ environment.
- Pro-active with ability to work on own initiative.
- Capable of working under occasional pressure and handle multiple tasks simultaneously when required.
- Ability to exercise complete discretion and confidentiality with regards to our work, and awareness of GDPR and its application in the workplace.
