Our Chief Behavioral Science Officer is looking for a first-rate Executive Assistant to make their life easier so they can devote their energies to accelerating the growth of the business. The most important characteristics of a successful EA at MindGym are attitude and energy. You will always be thinking about what you can do to make things easier and then proactively putting these ideas into practice. Your willingness to help and the ability to anticipate what might be needed, and act on it, is crucial. You are naturally at least a couple of steps ahead. To be successful, you will demonstrate quality and accuracy in everything you do. Nothing slips through and no activity is too trivial to do thoroughly. The right candidate for this position will have a passion for employee engagement and will create exciting team building events.

Responsibilities:

  • Liaising with colleagues and other EAs on meetings arrangements
  • Understanding the evolving process of developing multi-stream products by holding strong relationships with those involved
  • Organizing the tight management calendar including prep and follow-up from meetings and one-to-ones with direct reports
  • All business admin, logistics, etc. from expenses to ensuring top-notch hospitality for visiting clients
  • Managing email inbox: forwards, responses etc
  • Gather agenda for key meeting and recording minutes (i.e. Academic board, department meeting). Follow up on actions with stakeholders
  • Arranging public appearances and liaising with Marketing on appearances/PR
  • Taking on and managing company wide projects, e.g. company away days
  • Being eyes and ears in the virtual office as well as an ambassador for the CBSO internally
  • Ad-hoc administrative (helping with direct team coordination and tasks) and personal tasks as and when required
  • Create exciting employee engagement strategies and support new ideas for positive and fun internal events!

About you:

  • Impressive experience as an Executive Assistant at Senior Executive level, ideally in a fast-growth company
  • Exceptionally adept at supporting a high-level, high-visibility global Executive member of a company
  • Prioritization extraordinaire
  • Extensive experience in managing a hectic schedule and complex projects
  • Calm under pressure and able to work effectively under tight deadlines
  • Exceptionally organized and detail-oriented
  • Resourceful with a keen sense of judgement
  • Expert at developing strong relationships across teams and functions, especially with other Executive Assistants
  • Tech fluency including all MS packages: Word, Excel, PowerPoint, Outlook
  • Excellent written and verbal communication skills
